The Department of Graduate Medical Education (GME) at the University of Minnesota Medical School has oversight over the compliance and educational activities of more than ninety accredited and fifty non-accredited residency and fellowship programs. These programs house approximately 1,000 residents and fellows pursuing various specialties (e.g., Pediatrics, Internal Medicine, Neurosurgery) after completing their medical degree. Our office is seeking a highly motivated and organized individual to help monitor, administer and audit an array of requirements related to the resident/fellow participation in their GME programs.

Responsibilities:

Analysis and Execution of Program Compliance (~75%)

  • Administers and executes processing of onboarding, advancing, graduating, and other compliance requirements for the residents/fellows.
  • Partners with the Compliance Consultant to develop and oversee administrative and operational workflow for the compliance service line.
  • Participates in program and administrative planning and oversees the execution of projects.
  • Conducts analysis and makes recommendations to improve inefficiencies and effectiveness of onboarding and advancing operations to best align with overall Graduate Medical Education goals.
  • Gathers, compares, and analyzes data to make recommendations for future offerings.
  • Recommends plans to adapt to changing national, state and institutional requirements.
  • Identifies reporting needs and prepares internal and external reports and/or audits.
  • For assigned projects, develops communication and marketing plans to engage internal/external stakeholders.
  • Identifies vendors and negotiates business/services contracts. Examines contract details to ensure terms are fulfilled according to the terms. Resolves contract related issues.
  • Assists with delivery of training for internal/external stakeholders.

Recruitment System Oversight (~15%):

  • Institutional administrator for the National Residency Matching Program (NRMP) and Electronic Residency Application System (ERAS):
  • Responsible for maintaining the integrity of the data in the system.
  • Ensure access to the system is managed. 
  • Review data requests and recommend appropriate action based on standards and roles.
  • Oversee match participation agreement compliance.
  • Communicate deadlines and important information, troubleshoot system issues, and create reports.

Other duties (~10%):

  • Special projects and process improvement initiatives.
  • Cross coverage of team members.
  • Facilitates and coordinates meetings.

Required Qualifications:

  • BA/BS or a combination of related education and work experience to equal four years
  • Applies knowledge and skill to a recurring task or activity with emphasis typically on precision and timeliness of execution.
  • Highly organized with attention to detail in a fast-paced, multitasking environment.
  • Demonstrated interpersonal skills and customer service experience.
  • Excellent written, oral and presentation skills.
  • Proficient Microsoft Office skills to include Microsoft Word, Excel, PowerPoint.
  • Self-motivated and strategic thinker,
  • Reliable and accountable with passion and commitment to the GME team and community.
  • Establishes and maintains collaborative working relationships with all internal and external stakeholders from diverse backgrounds at all levels of the organization remaining positive, proactive, resourceful and efficient.
  • Leverages software technology to advance office operations.
     

Preferred Qualifications:

  • Uses Google Applications (GMail, Drive, Hangouts, Calendar, Docs, Google+) and conferencing technology.
  • Advanced Microsoft Office skills to include Microsoft Word, Excel, PowerPoint skills.
  • Creates and implements data management systems.
  • Experience using New Innovations’ Residency Management Suite (RMS).
