Sr. Consult Office Assistant

General Summary/Purpose Responsible for answering the telephone and various functions related to and including accessioning second opinion, processing incoming & returning materials received for consult cases. Correctly identifies, obtains and enters patient demographics, clinical impression, and insurance billing information. Interaction involves consult coordinators, pathologists, pathology assistants/residents, laboratory technicians, medical transcriptionists, administrative assistants, medical records/surgical pathology archivists, couriers, clinicians and patients. Work cooperatively and successfully in a team environment. Carries out responsibilities in a timely fashion, provides a high level of customer service and performing tasks accurately. Knows and understands policies, work rules and procedures. This position is part of the JHU/SOM Clinical Operations (CO) / Required Attendance.
Specific Duties & Responsibilities
Equipment, Machine , or Tool Requirements: Computer, Copier, Fax, Telephone, and all general office equipment. Typing 40-50 wpm.
Minimum Qualifications (Required) High School diploma or equivalent required.
Additional education may substitute for required experience, to the extent permitted by the JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job. *
Preferred Qualifications Successful completion of a Medical Terminology Training course preferred;
Special Knowledge, Skills, and Abilities Excellent organizational skills, strong interpersonal/customer skills are required to work closely with patients and both Johns Hopkins and external pathologists and clinicians. Experience with Pathology Data Systems (or similar patient database).
Knowledge of computers, data entry, fax machine, photo-copy machine and other general office equipment; analytical ability to work with numbers and accuracy is essential; communication and interpersonal skills to interact with patients, clinicians and other staff; ability to work independently, prioritize work and handle detail information under tight deadlines; understand implications of correct entries and affect on patient diagnoses and billing. Organized, knowledge of record keeping and filing. Familiar with web based applications and can easily develop skills on new systems, such as Federal Express or UPS tracking software. Maintain cooperative working relationships within a confined area.

During the Influenza ("the flu") season, as a condition of employment, The Johns Hopkins Institutions require all employees who provide ongoing services to patients or work in patient care or clinical care areas to have an annual influenza vaccination or possess an approved medical or religious exception. Failure to meet this requirement may result in termination of employment.
The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
