Organizational Overview

Business Services provides high-quality business services to support the Lab's research initiatives by participating in cross-functional teams with a focus on risk mitigation and cost management, which is a critical component to the Lab's success. Led by Chief Financial Officer George Clark, Brookhaven's Business Services Directorate includes the Budget Office, Fiscal Services Division, Information Technology Division, and Procurement & Property Management Division. The Directorate manages a broad range of financial activities, including the planning and implementation of the Lab's fiscal matters and its approximately $700 million annual budget.

The mission of the Procurement and Property Management (PPM) Division is to provide support for purchasing services, materials, equipment, and supplies for Brookhaven National Laboratory's operations and programs. Procurement and Property Management Division is responsible for the following:

• Providing internal customers with quality products and services in a timely manner at the lowest cost of ownership, i.e., "best value", using best commercial practices;
• Supporting the Laboratory's socio-economic programs by using reliable small, small disadvantaged, women-owned, service-disabled veteran-owned, and HUB (historically underutilized business) Zone businesses;
• Ensuring that acquisitions are conducted in compliance with the Prime Contract, applicable statutes and regulations, and in accordance with the highest ethics and standards.

Position Description

The Procurement and Property Management Division has an opening for an Expeditor. The incumbent will be responsible for expediting activities in compliance with Project Procurement and Expediting Procedures ensuring the timely delivery of approvals, materials, and equipment to meet the project needs. This may include coordinating with individuals across various departments, such as Procurement, Construction, Project Controls, Legal, Export, and Science Departments to ensure the purchase order/sub-contract is progressing to support project and operational requirements. Additional responsibilities include conferring Planners, Buyers, Contract Specialist, or other personnel to assess progress and discuss problem areas. Essential Duties and Responsibilities:

• Tracking open orders to ensure on-time delivery. Expedite internal requirements for the timely review and return of approval documents/data submitted by suppliers.
• Contact / Expedite suppliers to obtain the timely submission of contractual documents, follow up on material acquisitions, production schedules, and shipments.
• Generate monthly supplier On-Time-Delivery reports for quarterly scorecards. Update Vendor Management Database in a timely manner.
• Participate in weekly scheduling meetings and provide updates.
• Work closely with Supplier Quality Representative to ensure awareness of materials subject to quality performance and their locations of manufacture.
• Work with shipping and receiving to support arrangements of timely deliveries.
• Build effective working relationships and interact with suppliers and other project departments.

Position Requirements

Required Knowledge, Skills, and Abilities:

• Bachelor's Degree in a related business field or equivalent experience, on the basis of 2:1 (experience :college) years.
• Skilled in working and communicating effectively verbally and in writing with other project functional groups, suppliers, and government officials.
• Proficient in Microsoft Office Word, Excel, and PowerPoint.
• Attention to detail, time management, organizational and problem-solving skills are essential.
