THE DEPARTMENTS:
The internationally-recognized School of Film and Animation (SOFA) currently has one full-time Sr. Staff Assistant and offers BFA and MFA degrees in film production with emphasis in either Animation or Live-Action as well as a BS degree in Motion Picture Science. SOFA provides a creative community where students have the opportunity to discover their unique talents and expressive potential, while at the same time developing the skills needed to fulfill any creative or technical role in the film and animation industry. The Dean's Office has a full-time Senior Staff Assistant whom you will assist in providing support to the associate deans, assistant dean, administrative assistant II, marketing communications director, director of operations, gallery director, and CAD Finance.

THE COLLEGE
RIT's College of Art and Design is the university's creative hub where art, design, science, and technology intersect. The College proudly employs 139 faculty in five schools (art, crafts, design, film and animation, and photography) and 72 staff members, including those working in the Image Permanence Institute (IPI). Detailed Job Description
The College of Art and Design is seeking qualified candidates to apply for a full-time Sr. Staff Assistant position, evenly splitting their time and work locations between the Dean's Office and the School of Film and Animation (SOFA). The Sr. Staff Assistant will report to both the assistant dean of administrative services and the School of Film and Animation school director. While working in the School of Film and Animation, the Sr. Staff Assistant will provide administrative support to the school director, faculty, enrolled and prospective students and their families, and alumni. While working in the Dean's Office, the Sr. Staff Assistant will assist visitors to the Dean's Office, as well as provide administrative support to several individuals working for the Dean.

Major Responsibilities:
  • SOFA Faculty support:
    • ?Visiting artists/speakers - coordinating travel, scheduling rooms/catering, honorarium, and travel reimbursement
    • All new hire related tasks for adjunct faculty; onboarding new permanent faculty; coordinating access to restricted areas; maintaining employee files
    • Ordering supplies
  • SOFA Students - Assisting student groups with requests for supplies/reimbursements
  • Student Employees - SOFA and Dean's Office
    • Interviewing, hiring (also for Marketing Communications Dept.), scheduling, training, and bi-weekly Kronos timecard maintenance and sign-off
    • Student Employment Office hire/change/termination paperwork for undergraduate and graduate student employees and faculty classroom assistants?
  • Budget:
    • Ordering supplies
    • Managing and reconciling monthly pro card purchases (Dean's Office and Marketing Communications Dept.)
    • Travel Expense Reports account reconciling for associate deans and National Portfolio Day events for Marketing Communications Dept.
  • Human Resources:?
    • Entering faculty and staff job search requests and updating candidate status
    • Issuing staff and permanent faculty offer letters
    • Issuing paperwork needed for Human Resources and Payroll
  • Guest Services - assisting visitors to the office and answering questions


Required Minimum Qualifications
  • Earned associates degree
  • 3 years administrative office work experience
  • Advanced knowledge of Microsoft Outlook, Word, and Excel
  • Exceptional English-language communication skills: reading, writing, and verbal (in-person/telephone)
  • Excellent organizational and customer service skills, strong attention to detail, and comfortable working in a team environment.
  • Ability to:
    • complete tasks efficiently while handling frequent interruptions
    • successfully work independently, as part of a team, and in a fast-paced environment
    • adhere to an established work schedule, take instruction, and efficiently delegate tasks to student employees
  • Experience handling confidential information and adhering to protocols and policies
  • Excellent organizational skills, attention to detail, and a quick-learner
PREFERRED EXPERIENCE:
  • Administrative work experience in a higher education environment
  • Proficient working with software for: time card management, budget reporting, job posting/hiring, event management scheduling, and/or student record management
  • Budget reconciliation experience
  • Proficient in American Sign Language (ASL)
