This position is full-time and works approximately 40 hours per week.  

This position is in the Department of Pediatrics.  This position is for the Medical School Campus.

POSITION SUMMARY:

This position functions as an Executive Administrator of the Children’s Discovery Institute, providing administrative, operational, and financial oversight to the grant submission and award process. 

PRIMARY DUTIES AND RESPONSIBILITIES:

1. Provide administrative, operational, and financial oversight of the Children’s Discovery Institute. 
2. Write and update the governing policies and grant submission guidelines for the Children’s Discovery Institute.  Develop and/or approve pre and post-award forms for the Institute.
3. Administer grant pre-award and post-award activities and approvals (grant applications, progress reports, final reports, NCE requests, subcontracts, award letters, rebudgeting requests, closeout, etc...).
4. Facilitate invoicing process and monitor grant and other research-related CDI accounts.
5. Serve as responsible for financial management of CDI research-related budget.
6. In collaboration with the Executive Director assist with oversight of the CDI Executive Director Discretionary Account, which includes issuing allocations to fund various projects.
7. In conjunction with SLCH Foundation oversee website development and insure continual functionality.
8. Manage content of the portion of the CDI website devoted to grants submissions, policies, and funded research.
9. Oversee Grant Submission System and ensure continual functionality.
10. Review all CDI-related publicity (press releases, Guardians of Research, annual report, etc…) prior to going to press.
11. Participate in the planning and execution of the annual report and Investor’s Symposium.
12. May assist with fund-raising initiatives with the SLCH Foundation.
13. Attend Scientific Advisory Board (SAB) and Board of Managers (BOM) meetings.  Provide relevant information to SAB regarding the proposals under funding consideration along with the CDI grant portfolio. Through various reports provide the BOM funding history, summaries of proposals/reviews to the boards during spring and fall submission cycles, and other information relevant to the specific board meeting. 
14. Collaborate with Scientific Director and Executive Director to execute scientific and administrative initiatives.
15. Act as liaison between the CDI, the Department of Pediatrics, School of Medicine and St. Louis Children's Hospital. 
16. Serve as the grant administrator for the CDI GTAC core. May administrate/process approvals for other CDI cores as awarded.
17. Generate various data/documents for the Scientific Director. Serve as the principal liaison on day-to-day administrative and operational issues of the CDI, including meeting set-up, travel arrangements, and correspondence preparation.
18. Compose correspondence to the Scientific Advisory Board, CDI Center Members and other CDI constituents as requested.  Schedule Scientific Advisory Board meetings to review CDI proposals. Set up conference calls for traveling or out-of-town members.
19. Maintain various pages on CDI website, including the calendar (meetings of Scientific Advisory Board and Board of Managers, CDI Symposia, LOI and proposal due dates, etc.), Center Member lists on Center pages, and review of Investigator project pages. Update other pages as requested by the Scientific Director.
20. Download LOIs and proposals from portal. Prepare statistics (by Center, funding mechanism, PI Title, and budget requests) for review by the Scientific Advisory Board, Scientific Director, and Executive Director. Once applications have been reviewed by the CDI SAB, compile and forward all reviews to CDI Scientific Director and the rest of the SAB prior to the review meeting. Attend SAB meeting and record minutes. Assist Scientific Director with preparation of application summaries for CDI Board of Managers’ meetings.

Equivalent of a bachelor’s degree with five years of experience in accounting or related field plus experience in grants administration or nine years of combined education and related experience.

• Ability to work independently with minimal supervision. 
• Good written and oral communications. 
• Knowledge of Access database, AIS, HRMS, Microsoft Word and Excel, PC, RMS Proposal Development system, etc.

The hiring range for this position is $51,292 - $66,684 annually.
