The Data Coordinator works within Enrollment Management, 50% of the time within Admissions Operations (supporting recruitment efforts of freshman, transfer, graduate, and nursing students) and 50% of the time within Financial Aid. This person – along with other data coordinators – processes inquiries, applications and supporting documentation which include data entry, imports, creating and maintaining files, generating correspondence, mailings, and reporting. The Data Coordinator dually reports to the Director of Admissions Operations and University Marketing and the Director of Financial Aid.
ESSENTIAL FUNCTIONS:
Data and File Management
Complete data entry and imports from external sources for prospective and current students for admissions and financial aid. Includes processing and tracking admissions and financial aid supporting documentation and updating application statuses.
Manage data in internal and external databases with accuracy. Work with management to identify and troubleshoot system related issues.
Create, maintain, and purge prospective and current student record files in compliance with university, state, and federal document retention, security, and storage policies and regulations
Refresh reports, work in vendor portals, and manage online form submissions on a scheduled basis
Communication Management
Generate print and electronic correspondence based on status, scheduled processes or ad hoc needs
Create and update Enrollment Management documents
Communicate with prospective and current students via phone, email, and in-person
Assist with large mailings not outsourced
Private Loan Processing
Maintain ELM Select system
Manage private loans from certification to disbursement
Reconcile the private loan account monthly, term end, and yearly (in conjunction with Fiscal Management)
Point of contact for private loan lenders
Enrollment Management Support
Proactively keeps Admissions Operations and Financial Aid units organized and stocked on a daily basis
Provide back-up for Enrollment Management Administrative Assistant
Assist with printed collateral, supply, and giveaway inventory
Perform other duties as assigned
MINIMUM QUALIFICATIONS:
High school diploma; bachelor’s degree preferred.
At least one year of customer service, receptionist and/or data entry experience.
Proficient with data entry/management and Microsoft Office programs.
Strong oral, written and interpersonal communication skills.
Detail-oriented, accurate, organized and efficient.
Ability to work independently and multi-task with interruptions.
Ability to compose routine letters/emails.
Ability to relate well with students, college offices, and visitors in a friendly and flexible manner.
Be able to lift 25 lbs. boxes of files and/or publication materials.
Knowledge and acceptance of principles and philosophies of Vanguard University.
