Position Specifics

The Database Manager and Advancement Associate works with other members of the Advancement team, alumni, parents, faculty, Board members, and other constituents to further the mission of the School by fundraising and stewarding relationships with friends and donors. This highly organized individual will assist in the successful handling of the day-to-day database operations of a busy advancement office, balancing multiple competing deadlines. This person will manage Advancement data in the Raiser’s Edge database. 

Responsibilities of this position include:

• Entering and tracking gifts in the Raiser’s Edge donor database
• Managing data in the Raiser’s Edge, including constituent and prospect activity and demographic information; queries and exports for appeals and events; action assignments for staff; pledge, gift, and event fee entry and tracking
• Creating and processing regular donor and statistical reports for Head of School, Advancement Team, Business Manager, Board, and auditors
• Working with the Business Office to reconcile gift records
• Producing annual tax receipts for donors
• Preparing board reports and annual reports 
• Working closely with the Advancement Department to assist with special events in support of fundraising efforts
• Assisting with The Darrow School Reunion efforts
• Working with the Communications department on the team that creates the outline for Peg Board articles
• Drafting, editing, and submitting alumni notes and In Memorium, cross-checking pulls from the database with emails from travel and alumni
• Assisting with mailings, tracking alumni, and posting information
• Assisting with ordering and preparing cultivation materials for donors
• Attending all departmental meetings and collaborating with colleagues on projects that involve shared responsibilities
• Assisting with the compilation of materials for appeals, grants and proposals, donor visits, and events
• Assisting with staffing at events, constituent interaction, registration, set up, and clean up
• Other duties as assigned

Required skills/qualifications:

• Bachelor’s degree preferred, or five years of development/fundraising experience in educational and/or non-profit organizations
• Proficiency with the Raiser’s Edge database required; Fundamentals or Professional certification preferred
• Experience with Microsoft Word (specifically mail merge) and Excel; Adobe Acrobat; and Google Sheets, Docs, and Gmail preferred
• Familiarity with handling confidential information appropriately
• Demonstrated excellent written and oral communications skills and some experience with writing and editing copy
• Willingness to work nights and weekends as necessary
• Flexibility, maturity, enthusiasm, and a sense of humor
• A deep appreciation for the vision, mission, and values of the school
• Knowledge of general fundraising principles
• Proficiency in relevant advancement technology
• An aptitude for problem-solving
• Ability to work independently and pro-actively
• Must have a valid driver’s license

Darrow School is an independent, co-ed, boarding and day school for grades 9-12 that offers a comprehensive and individually focused college-preparatory curriculum featuring a unique combination of classroom instruction, experiential learning, and environmental consciousness. Living, Breathing History 

With just over 100 students from around the world, Darrow offers faculty, staff, and students a dynamic boarding school experience. Founded in 1932 on a beautiful 365-acre Mountainside campus, we are the only boarding school community on a National Historic Landmark.
