This position provides high-level executive assistance to the Assistant Vice President (AVP) of Research Accounting and Analysis (RAA) within UW Finance. Maintains key role in administration of the office of the AVP reporting departments. Manages projects in support of the office of the AVP. Position Responsibilities: This position is a key member of UW central administration which services UW Finance, EVP, and Seattle campus. Duties & Responsibilities: The position plays a key role in administration of the office of the AVP. The Assistant manages processes and projects in support of the AVP and reporting departments: Management Accounting & Analysis (MAA) and Research Compliance & Operations (RCO). As a representative of the AVP, this role is expected to demonstrate the professional and leadership behaviors that contribute to a business excellence culture. This position is part of an organization committed to continuous process improvement utilizing Lean principles and methodology. AVP Support: • Serve as principal communication liaison to the AVP. Exercise a high degree of discretion and independent judgement in communicating to all parties. Ensure efficient flow of requests, information and materials. • Manage AVP’s calendar and email, including prioritizing, scheduling, and updating meetings. • Manage meeting preparation, ensuring the AVP has necessary materials for meetings; draft meeting notes; document and organize meeting materials. • Manage travel arrangements and reimbursements. • Create, edit, and proofread communications and presentations; create and maintain UW-branded templates. • Independently plan and carry out work assignments. Many assignments delegated to this position are unique and may require exercising independent research and decision-making. RAA Operations: • Serve as point person to coordinate and initiate confidential HR processes on behalf of the AVP and as back-up for operational units, i.e., initiate recruitments and candidate selections, salary/position reviews, retirements, resignations and performance management. • Coordinate meetings, interviews, and events, including scheduling and logistics; manage meetings and events in-person and online. • Manage and coordinate special projects such as conducting research, managing documentation of major projects and due diligence activities. For example, Financial Transformation is an institution-wide project and this position will be working with key stakeholders in coordinating related RAA activities. • Manage initiatives related to facilities, space, and safety/security, and coordinate related communications. • Manage records, including physical records, shared drives, and other electronic records. • Create meeting notes, coordinate revisions, and distribute notes to participants. • Create and maintain organizational charts, office directory listings, and email lists. • Manage Procard and travel card. • Maintain awareness of business initiatives and changes, including attending relevant campus meetings and operational huddles. RAA Lean: • Manage annual goals tracking: create tracking spreadsheets; determine how to track goals and problem-solve with directors; collect monthly data and generate monthly reports. • Manage annual and monthly stepbacks, including preparing materials, scheduling, and maintaining online meeting boards. • Manage weekly huddles and maintain online weekly huddle board. • Manage weekly idea counting and documentation. • Create and maintain written guidelines for managing organizations idea system. RAA Websites: • Serve as administrator of RAA’s websites; review, edit, proofread, and publish new content; create customized work plans with RAA units; edit and reformat outdated content; fix broken content. • Ensure web content is clear, accurate, readable, accessible, and responsive to changes in screen size; ensure consistency across RSA sites and across the UW Finance site. • Manage content updates related to major initiatives; coordinate transition of content to UW Connect with business owners. • Create and maintain written best practices for content creation and updates. • Troubleshoot and problem-solve with units; train staff on best practices; collaborate regularly with web developer for in-depth problem-solving.
