OVERVIEW:
This position serves the MBA & MS Programs Office in the following areas:

• Managing the University of Minnesota’s central graduate admissions system (Slate): The MBA and MS programs use the Graduate Admissions system (Slate) and are equal partners with the Graduate Admissions Office in developing, implementing, maintaining, and enhancing this system. It is used by applicants and program staff in approximately 200 graduate programs offering 400 degrees options on the Twin Cities, Duluth and Rochester campuses; totaling close to 18,000 applications annually, and serves several hundred staff end-users plus several hundred rotating faculty reviewers in the areas of recruitment (CRM), admissions operations and processing for both the central Graduate Admissions office and programs, as well as online review and post-decision processing.
• Admissions Operations: This includes oversight of the merchant manager/payment account and processes, training design and delivery for the Slate system, development of processes related to candidate applications and admissions office review, assisting with Slate use for recruitment activities, and other projects.
• Administrative/Operational Support: Participates in departmental and school-wide activities and committees.

JOB DESCRIPTION:

Admissions System Management (25%)

• Build, develop, modify and monitor areas of Slate, the University’s central graduate admissions system, used by the MBA and MS programs including: application forms and questions, conditional logic, business rules, events, email templates and automated deliveries, recommendation system functions, ‘reader’ system configuration, decisions, letters, etc.
• Monitor system performance, identify and evaluate system issues and resolve or report to vendor as appropriate. Make recommendations to increase efficiencies.
• Conduct regular testing of all system functions to:
  • Ensure integrity of institutional date (e.g., ensure that data loads into PeopleSoft correctly to facilitate accurate diversity reporting, identify citizenship status, attribute residency for tuition rates, etc.)
  • Identify and mitigate risk to the University and Carlson School’s reputation (e.g., ensure that correct admission decisions are communicated to applicants and build system checks to prevent erroneous decisions)
  • Ensure a smooth end-user experience for applicants and external recommendation providers.
  • Protect the financial interests of the University and Carlson School by building, testing, and monitoring application fee rules and fee collection mechanisms.
• Collaborate with Graduate Admissions staff to monitor Slate integration with PeopleSoft, identify issues and work with the Graduate Admissions Systems Analyst, Undergraduate Admissions, and Central OIT to resolve problems. PeopleSoft integration includes file transfers of data from Slate into PeopleSoft; as well as from PeopleSoft back to Slate.
• Identify, prioritize, implement, and test “Annual Updates” (system enhancement) process each year.
• Identify issues and problems and evaluate and determine a solution and follow through on issues and problems until they are resolved or escalated.
  • Analyze and evaluate business needs for the unit and make recommendations for appropriate alternatives and enhancements to current systems.
• Stay up-to-date on the system and CRM by attending training and webinars. Serve as a system expert to share new information with stakeholders. Maintain in-depth knowledge of all business processes related to one or more business areas.

Admissions Systems Operations (45%)

• Manage CRM activity for MBA and MS programs in collaboration with Graduate Admissions staff.
  • Advise and train MBA and MS program staff on events, email campaigns, interviews, and other CRM functions.
  • Build and monitor email communications sent through slate.
• Evaluate MBA and MS admissions business process needs and develop solutions or improvements to current practices.
• Provide regular and high-level support to users of Slate.
• Build and manage user permission structures and monitor access accounts for MBA and MS program staff users and faculty application readers.
• Serve as a key liaison to Carlson IT – translate MBA and MS programs business practices and needs into IT needs. Help IT understand unit priorities and needs, as well as helping the unit understand what IT can do to assist in meeting our needs.
• Develop and deliver trainings, workshops, and presentations to MBA and MS programs staff and program end-users (including both staff and faculty) as needed. Develop documentation to aid in this training.
• Serve as the primary trainer and system expert on the system for new employees and end-users.
• Develop and deliver regular communications and updates to MBA and MS program staff on system enhancements and changes.\
• Solicit, prioritize, and implement requests for program-specific requirements such as application questions, reader review forms, data reports, and queries.
• Understand the communications process and act as the CRM specialist and departmental process owner to execute communications.
• Manage the creation of UTM tracking for emails sent through Slate.
• Ensure emails and email systems meet technology and communications guidelines and function properly with other existing systems, including internal CRM systems. Collaborate with the Carlson School’s Office of Information Technology and Marketing and Communications Teams as needed.
• Manage and problem solve prospective student categorization in relation to marketing plans and strategies.
• Understand and independently utilize SMC and Slate to serve as back up for Recruiting Operations Manager in sending departmental mass emails.

Report & Query Management (20%)

• Build necessary reports and queries.
• Ensure MBA and MS programs has appropriate reports and queries so that recruiters and student affairs teams can properly do their job.
• Update and adjust reports and queries so that they properly show all data and are updated and current.
• Proactively make recommendations for new reports and queries that increase efficiencies and enhance current processes.
• Collaborate with Carlson School IT so that they understand what data is needed and ensure the reporting is accurately displaying data in a way that improves business processes.
• Anticipate needs for reporting and work with stakeholders to understand if the need exists and if we can develop a report or query to satisfy data needs.
• Serve as a primary staff contact for developing reports to appropriately pull data for different business processes and needs.
• Serve as a backup for basic queries out of the CRM for emails, etc.

Administrative/Operational Support (10%)

• Document all Slate processes and features that can be utilized by MBA and MS program staff and Slate stakeholders. Create detailed test cases to ensure systems are functioning properly.
• Serve as backup Merchant Manager for credit card processing systems used by students for paying application fees.
  • Ensure Carlson School compliance with University policy and PCI DSS standards related to payment card processing.
  • Serve as backup authorizer to process refunds to applicants when appropriate.
• Participate and actively contribute at all levels of department staff meetings.
• Prioritize and implement projects in all areas of the MBA and MS programs office as needed.
• Other duties as assigned.

The salary range for this position will be $65,000 - $70,000, depending on qualifications.
