Research and Student Accounting has an outstanding opportunity for a Program Operations Specialist.  Operates within the University’s Sponsored Programs Finance in the office of Research and Cash Accounting (RCA). We help people who change the world. GCA assists the UW community by facilitating the post-award financial aspects of sponsored programs, from budget set-up to close. RCA has a strong culture of process improvement and teamwork in which the Program Operations Specialist fills a vital role.

Duties & Responsibilities:

Independently manage daily draw operations, including:

  • Preparation and submission of draw to each federal agency that offers a letter of credit payment system
  • Perform quality control checks and reviews of grant activity nearing expiration
  • Work with fellow departments to ensure all coming charges are drawn accurately before grant expiration
  • Ensure corrections are processed timely and reflected accurately within the ledger

    Support:

  • Act as a resource for campus inquiries
  • Educate and train both within GCA as well as external departments.
  • Resolve outstanding draw issues to ensure the University is reimbursed for services rendered in a timely manner.
  • Monitor and escalate unresolved awards, as needed.
  • Adapt to continually changing sponsor requirements: 15%
  • Ensure internal change management process and system development maintains rigorous standards for customer service and compliance with federal and state cash handling regulations.
  • Critically assess and identify risk areas, develop mitigating controls or systems solutions in concert with Systems and Data Analysis group.

    Reporting

  • Prepare quarterly cash disbursement reports, various ad-hoc reports as requested by management
  • Perform monthly general ledger reconciliations (15 GLs)
  • Assist in preparation and submission of year-end journal entries to Financial Accounting

    Collaboration and Subject Matter Expert( SME)

  • Work collaboratively with Grant Managers and Associate Directors to ensure sponsored project activity is booked timely and accurately.
  • Identify and lead initiatives to reduce administrative burden.
  • Support analysis of fiscal and administrative data.
  • Other duties as assigned.

    Required Qualifications:

  • BA in Accounting, Business Administration or related field and three years of financial or accounting experience
  • Excellent interpersonal skills, ability to exercise independent judgement, and excellent written and verbal communication skills.
  • Ability to prepare complex financial analysis and interpretations with a high degree of accuracy
  • Proven analytical, verbal and written communication skills
  • Ability to work independently with a minimum level of supervision
  • Ability to work in an open team environment
  • Demonstrated experience in working on diverse groups and teams; respects, values, and contributes to UW Finance and UW’s commitment to diversity, inclusion, and equity

    Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

    Desired Qualifications:

  • Experience working with sponsored projects
  • Strong understanding of GAAP and GASB standards as well as strong background in internal controls
  • Proactive; anticipates problems and seeks solutions
  • Strong organization skills with a proactive and positive working style
  • Participation in a work environment using LEAN or similar structured process improvement effort.
