As the sole Academic Staff position in a large, complex research center, this full-time position is responsible for all administrative functions in the Institute for Research in the Humanities and requires the person to work in close association with the Institute's Director to implement the Institute's programs, policies, priorities, and multi-faceted mission in relationship to enhancing interdisciplinary humanities research on the Madison campus. This position is primarily responsible for independently organizing and administering the Institute's fiscal systems, human resources, payroll, and purchasing. This position requires a comprehensive knowledge of, and ability to interpret and analyze, college and university policies, federal and state guidelines, rules and regulations relating to payroll and benefits, accounting and purchasing, travel expense reporting and other e-re-imbursement policies, time management and record maintenance. Additionally, the position is primarily responsible for all logistical administration of fellowship competitions and appointments, including online application systems and HR requirements for external fellowship appointments; ongoing assistance to academic year and summer fellows; management of the Institute's multiple foundation and other funds and grants; Institute conferences, lectures, symposia, receptions, meetings, and other events; the Institute website and libraries; office space assignments and maintenance; Institute technological needs (e.g., photocopying, printing, computers, etc.); building maintenance (e.g., heating, AC, repairs, etc.); and supplies. Additionally, the position is responsible for assigning and overseeing work of the Institute's project assistant, as well as any LTE staff, and student hourlies. This position also requires excellent public relations skills and the ability to interact positively and independently with the Institute's approximately 45 fellows in the academic year/25 fellows in the summer, and with university administration, faculty, and staff. Mandatory requirements include strong oral and written communication skills, ability to oversee technological systems, and the capacity to handle a wide variety of tasks simultaneously and with grace. A PhD in a humanities discipline is required.
Responsibilities:
Manages a program and/or programmatic activities. Initiates, develops, and implements operational services that support a defined project, program, work unit, or function to advance program goals and objectives. May supervise staff and/or approve unit expenditures.
20% Plans, implements, executes, and evaluates existing strategies and objectives for a program and makes recommendations to unit leadership for program or function enhancement
10% Identifies workflow needs, contributes to the development of strategic and operational solutions, allocates resources, and implements new or revised unit operational policies and procedures
10% May exercise supervisory authority, including hiring, transferring, suspending, promoting, managing conduct and performance, discharging, assigning, rewarding, disciplining, and/or approving hours worked of at least 2.0 FTE or equivalent employees
10% Schedules logistics and secures resources for program activities across multiple work units to ensure optimum efficiency and compliance with appropriate policies, procedures, and specifications
15% Leads the development and preparation of periodic reports and financial statements, and records progress, status, or other special reports for leadership or external agencies
20% May assist in the development and monitoring of the unit or program budget and approve unit expenditures
15% Contributes to the preparation of proposals for funding and/or funding continuation from outside sponsors
