The Energy & Utilities Division, within the Facilities and Operations Directorate has an opportunity to fill the position of an Associate Staff Engineer, who is essentially an entry level engineer that reports directly to the Energy & Utilities Division Manager. This is an administrative support role that will participate in performing the administrative, technical, and entry level engineering aspects in the maintenance, operations, and regulatory requirements of the Division. The Associate Staff Specialist shall work onsite, M-F 8:00am-4:30pm.
Essential Duties and Responsibilities include, but are not limited to:
Performs specific and limited portions of analysis, design and general execution of parts of broader engineering assignments.
Schedule meetings, reserve meeting rooms, arrange virtual meetings, and access, as needed.
Manage, scan, and file engineering drawings, documentation, work permits, packing lists, etc.
Update and create various spreadsheets and lists.
Create technical scope of work documents for service contracts.
Review engineering drawings for completeness.
Perform inspections to review contractor work and develop field reports.
Generate requisitions for materials, equipment, and contracts to support operations and maintenance activities.
Maintain the department website, organizational chart, personnel list, vehicle list, etc.
Manage and monitor equipment maintenance contracts maintain supplies inventory.
Develop contract and specification documents based on technical staff input.
Develop slides for PowerPoint presentations and letters to regulatory agencies.
Perform administrative reviews (typo checks, grammar checks, proper formatting, pagination checks, missing information, etc.) on all documents processed within the Division.
Initiate contractor registrations and manage badge renewals.
Issue utility shutdown notices.
Support audit documentation requests.
Maintain cooling tower ASHRAE188 Plan Binders including filing of reports, sample data, cooling tower start-ups/shutdowns, work orders, etc.
Electronic filing and organization of documents and reports.
Required Knowledge, Skills, and Abilities:
Requires a bachelor's degree in an engineering discipline.
Highly proficient in MS Office products (Word, Outlook, PowerPoint, Excel) with knowledge of, or ability to learn, SharePoint or Google docs or equivalent.
Basic knowledge of document control and records management.
Knowledge of videoconferencing tools, such as Zoom, MS Teams.
Ability to work independently to handle routine and nonroutine administrative matters in accordance with established procedures and guidelines.
Excellent organization, communication, and administrative editing skills.
Be motivated, a self-starter, and work independently.
Ability to read, write, and verbally communicate in English.
Must have a valid NYS Driver's license.
This is a fully onsite position located at BNL.
Preferred Knowledge, Skills, and Abilities:
Familiarity with utility operations.
Experience working in an engineering, scientific, or technical environment.
Ability to collaborate effectively in a diverse team environment including collective bargaining unit personnel.
Basic understanding of the differences between electrical, mechanical, and architectural systems.
Technical writing skills.
Environmental, Safety, and Health, Considerations:
Standing, bending, and lifting, up to 20 lbs.
Use of private car may be required at certain times.
