![]() Executive Office Specialist Position Number: S-3131 Type of Recruitment: External Position Summary: Performs accounting and financial duties for CMU Libraries' acquisition expenditures. The position is responsible for communicating with vendors and publishers regarding financial matters related to library acquisitions. Communication and evaluation of all acquisitions budgets, as applied in Alma and SAP, is a critical component of this position. Manages physical journal subscriptions as required. Required Qualifications: High school diploma or GED. Four years of qualifying experience or a combination of education and experience that equates to four years. Experience with Microsoft Word. Customer service experience. Spreadsheet and/or database experience. Organizational skills with strong attention to detail. Demonstrated positive interpersonal skills. Effective verbal and written communication skills. Ability to project a positive attitude. Ability to manage multiple projects and meet deadlines with accurate results. Ability to compose, proofread and edit correspondence. Ability to perform the essential functions of the job. Preferred Qualifications: Previous library work of a qualifying nature. Experience with computer-based accounting systems. Demonstrated experience working with financial records. Spreadsheet experience strongly preferred. Duties & Responsibilities: Tracks and monitors all financial transactions related to the library acquisitions budget within the librarys management system (ExLibris Alma ). Works with Director of ARM to report issues with acquisitions transactions within Alma. Maintains statistics for all physical materials added to or withdrawn from the librarys collections. Coordinates and ensures payment to publishers and vendors for all library materials purchased. Administers a procurement card system for the payment of library publications, including entering the cost center breakdown in the Universitys online system. Receives, verifies, and clears statements issued by consortia, publishers and vendors and troubleshoots late payments, etc. Conducts a monthly reconciliation of acquisitions balances between the Librarys ExLibris Alma system and the Universitys SAP system, which may require making journal entries within the Alma system for both the University Library and Clarke Historical Library. Manages all library budgets allocated for acquisitions, including endowments and the Clarke Historical Library, within Alma. Creates and issues scheduled and special financial reports to library administrators using Alma and/or SAP. Assists the Director of ARM in managing student employment records, including maintaining student budget status reports. Assists library employees with acquisitions transactions within Alma related to funds, orders and invoice payments. Receives and processes all print government documents received from the Superintendent of Documents Program. Maintains the physical government documents collection, including withdrawal projects as needed. Manages daily operations and special projects related to the maintenance of physical serials, setting priorities, and resolving problems. Creates and maintains the Central Michigan Local Holdings Records via OCLC. Assures accurate entry of bindery information into Exlibris Alma. Organizes and prepares annual bindery shipment, including any special request materials. Creates and maintains budget specialist and physical serials processing procedures manual.
