The Executive Assistant (Administrative Specialist 3) for the Office of the Chief Executive Officer (CEO) of the Ohio State University Wexner Medical Center is a key liaison and representative on behalf of the CEO and is a critical member of the CEOs administrative team. Working closely with the Chief of Staff, other Executive Assistants in the Office of the CEO, and other members of the CEOs team, this role supports the efficient operations and professional image of the CEOs office and exercises considerable discretion and good judgment in handling information and taking care of matters of a highly confidential and critical nature. This position serves as a primary team member supporting the daily executive administrative needs of the CEO, including, but not limited to, serving as an initial point of contact with board members, executive leaders across the University and Wexner Medical Center, donors, government and community leaders, and faculty, staff, and learners across the University; reviewing and processing confidential and critical information in support of administrative activities; assessing level of priority in determining urgency; scheduling appointments and coordination of meetings and engagements for the CEOs extensive calendar; compiling, preparing and prioritizing daily materials needed to facilitate the efficient and effective use of the CEOs time; assessing inquiries and concerns directed to the CEOs office, assessing course of action and delegating to appropriate person or unit to handle; conveying directives and critical information to other senior executives, faculty, and staff; coordinating, preparing and reviewing a wide range of written materials for the CEO, including agendas, itineraries, presentations, correspondence, letters, and memos; reviewing documents requiring the CEOs signature or response to ensure compliance with current administrative policy; making travel arrangements and processing expense reimbursements; and coordinating special projects as directed. Minimum Education Required Bachelor's degree or equivalent experience. Required Qualifications Bachelor's degree or equivalent experience. Four years of responsible senior administrative support experience, including knowledge and experience in managing complex scheduling and impeccable attention to detail. Requires successful completion of a background check. Selected candidate may be asked to complete a pre-employment physical, including a drug screen. Additional Desired Qualifications Substantial prior experience working with or for a senior executive and interacting with senior executives, community leaders and other similar roles; substantial knowledge and experience in higher education and/or large health systems or other large, complex organizations; significant prior administrative support experience making travel arrangements, purchasing goods and services, and relevant administrative policies and procedures.
