Under the general supervision of the Department Administrator, the Administrative Assistant functions as the primary contact person for the department and provides critical administrative support for the Department of Civil and Environmental Engineering (CEE). This detail-oriented position requires excellent administrative, organization, and communication (oral, written, and electronic) skills as well as computer proficiency. It requires considerable professionalism, confidentiality, independent initiative, sound judgement, analytic ability, and problem-solving skills in a high-paced multi-tasking environment.

• 15% Schedules logistics and secures resources for meetings, conferences, travel, and work unit operations
• 20% Serves as a primary point of contact for individuals and groups, provides organizational information via phone, in person, and through other communication mediums
• 20% Prepares and audits complex records, edits documents, and reviews work done by others
• 20% Develops, sends, receives, copies, and distributes communications to the appropriate entities according to established policies and procedures
• 10% Develops, implements, and maintains methods and organizational systems directed at the maintenance of electronic/physical records related to work operations according to established policies and procedures
• 10% Provides oversight and support for Chair, admin staff, faculty, and adjuncts including special assignments, managing meetings and calendars, and projects where needed
• 5% Provides day-to-day oversight of front office student workers; participates in student worker hiring process

Preferred
Associate's Degree

Experience in customer service and/or public-facing office environments.

Excellent time management and organizational skills with strong attention to detail.

Ability to manage and coordinate multiple concurrent projects. Proficiency in making a wide variety of decisions, analyzing situations, and exercising good judgment.

Strong communications skills--oral, written, and electronic. Ability to handle inquiries with diplomacy and tact, especially concerning sensitive and confidential matters. Professional and courteous customer service skills.

Ability to work independently as well as function effectively in a team and within a diverse group of people.

Strong computer skills including word processing, spreadsheet, and database management, PowerPoint, Outlook and web content management.

Knowledge of UW System policies and procedures related to travel, purchasing, and event management is preferred.

Monday through Friday 7:45 AM to 4:30 PM. Some flexibility may be considered.

It is anticipated this position requires work be performed in-person, onsite, at a designated campus work location.
