Job Title: Division of Medical Assistance and Health Services (DMAHS) Grant Coordinator Department: Rowan-Virtua SOM Facility: School of Osteopathic Medicine Reports To: Frank MacLeon
SUMMARY: Responsible for assisting with DMAHS and other grants and contracts review and monitoring. Review and prepare awards for timely closeout. Assist with the review and setup of grants and contracts. Create and maintain grant files for department and audit purposes. Respond to questions from internal and external constituents.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following: Review grants and contracts award notices and take appropriate action to assign and set up accounts. Quality control invoices, timesheet and support the timely closeouts of sponsored projects. Request purchase orders and request for proposals (RFP). Assist with the review and recommendations of salary and non-salary expenditures charged to a grant and contract according to sponsor, federal, state and university guidelines and regulations. Create and maintain financial summaries and files for sponsored projects, including all critical components including application, award, and budgeting. Assist with the projection of availability of funds (salary and non-salary) for Principal Investigators and Executive Director and advises of any favorable/unfavorable variances. Respond to questions from internal and other granting agencies for grant sand contracts awards. Assist with the review and approval of subcontract invoices for accuracy and compliance with contract guidelines. Prepare special reports as required by Principal Investigators and Executive Director. Understands and adheres to Rowan University SOM’s compliance standards as they appear in Rowan University SOM’s Corporate Compliance Policy, Code of Conduct and Conflict of Interest Policy. Position requires excellent financial and MS Excel skills in additional to significant attention to details. Performs other related duties as assigned including but not limited to administrative work for RM, CBO and/or MC.

EDUCATION and/or EXPERIENCE: Bachelor’s Degree, plus two (2) years of related experience involving research and/or sponsored programs administration, preferably in an academic environment. Knowledge of accounting principles, practices and financial analysis. Demonstrated competence with computer/spreadsheet software in relation to the management of a large sponsored programs database. Current knowledge and expertise of federal/state agency regulations, policies, procedures, and laws applicable to sponsored program activity. Excellent oral and written communication skills. Ability to prioritize, exercise sound judgment and discretion, meet deadlines and work under pressure in a fast-paced environment with multiple stakeholders. Demonstrated knowledge of how to accomplish superior performance in a unionized environment is necessary. Equivalent education, experience and/or training may be substituted for the degree requirement. NOTE: Candidates must be legally authorized to work in the US, and the university will not sponsor an applicant for a work visa for this position.
