JOB SUMMARY: The Dean of Financial Aid is a dynamic and visionary leadership position charged to oversee financial aid and student accounts functions at Gustavus Adolphus College. This role plays a critical role in ensuring access to higher education for students by managing financial aid programs, policies, and services. The Dean of Financial Aid collaborates with various stakeholders to develop and implement financial aid strategies that align with the institution's mission and goals.

Employment Status: Full-time (12 months), benefits-eligible, exempt (salaried) position with options for remote work.

MAIN RESPONSIBILITIES

Financial Aid Strategy and Policy Development:
  • Develop, implement, and revise financial aid policies and procedures in alignment with federal, state, and institutional regulations.
  • Create and execute a forward-thinking strategic financial aid plan that supports the institution's enrollment and retention goals.
  • Stay informed about trends in higher education, financial aid policies, and funding opportunities to adapt and improve financial aid offering.

Financial Aid Program Management:
  • Oversee the administration of various financial aid programs, including grants, scholarships, loans, and work-study programs.
  • Ensure timely and accurate disbursement of financial aid funds to eligible students.
  • Manage the verification and awarding process, adjusting awards as necessary based on changes in eligibility or funding availability.
  • Stay current with changes in financial aid laws and regulations and implement necessary adjustments.
  • Optimize the distribution of financial aid resources to maximize their impact on student success and retention.

Compliance and Reporting:
  • Maintain up-to-date knowledge of federal and state financial aid regulations and ensure institutional compliance.
  • Prepare and submit required reports to regulatory bodies, accrediting agencies, and other stakeholders.

Financial Aid Counseling:
  • Provide guidance and counseling to students and their families on financial aid options, eligibility criteria, and the application process.
  • Conduct financial aid workshops and information sessions to educate the campus community about available resources.
  • Collaborate with academic advisors, student services, and enrollment management teams to provide comprehensive financial counseling and education to students and families.

Budget Management:
  • Develop and manage the financial aid budget, making recommendations for allocation of resources.
  • Monitor spending and identify cost-saving opportunities without compromising student support.

Staff Supervision and Development:
  • Recruit, train, and supervise financial aid staff, ensuring their professional development and adherence to best practices.
  • Foster a positive and inclusive work environment that promotes teamwork and productivity.
  • Stay current with best practices and emerging trends in financial aid by participating in professional organizations, conferences, and workshops.

Collaboration:
  • Collaborate with other departments, including admissions, academic affairs, and student affairs, to enhance the overall student experience and improve retention.
  • Work with institutional leadership to advocate for the importance of financial aid in achieving the institution's goals.

Technology Integration:
  • Leverage technology and data analytics to streamline financial aid processes, enhance efficiency, and improve the student experience.
  • Collaborate with industry vendors to advance the work of institutional financial aid.


Prerequisites

MINIMUM QUALIFICATIONS
  • Bachelors degree
  • At least 5-7 years of progressively responsible experience in financial aid administration within a higher education setting.
  • Comprehensive knowledge of federal and state financial aid regulations and compliance requirements.
  • Strong leadership, communication, and interpersonal skills.
  • Ability to make data-driven decisions and implement innovative solutions.
  • Experience managing budgets and financial resources.
  • Commitment to diversity, equity, and inclusion in financial aid practices.

PREFERRED QUALIFICATIONS
  • Masters degree
  • Familiarity with Ellucian Colleagues most current release.
  • Familiarity with Federal Direct Loan program.
  • Familiarity with State of Minnesota financial aid programs.
  • Knowledge of customer relationship management (CRM) systems.

The Dean of Financial Aid plays a pivotal role in ensuring that qualified students have access to the financial resources needed to pursue higher education. This position requires a strategic leader who can balance regulatory compliance, financial stewardship, and student support to fulfill the institution's mission and commitment to educational access.
