Position Summary

Reporting to the Director, Career Design Lab (CDL), the Associate Director, Career Design Lab Operations (Associate Director) is responsible for the continuous exploration and implementation of best practices in Career Services. This includes establishing operational processes and procedures that effectively and efficiently lead the team towards the achievement of its vision and mission. This role includes strategic planning and management of major initiatives, staffing, and business operations. The incumbent is essential in creating a vibrant and engaging environment that supports SPS students, alumni, employers, faculty and staff.

Responsibilities

Finance

• Budget: Oversee monthly reconciliation of budget and review with CDL senior leadership; create and track all CDL expenses and use the tracking system to oversee monthly reconciliation of budget and review with CDL senior leadership
• Procurement & Purchasing: Manage and reconcile office P-Card, Staff Professional Association Memberships, order and manage gift inventory oversight, CDL staff office supplies and food, and manage coordination and payment for special occasions
• Travel/Business Expenses: Develop tracking process for all staff travel and expense reports to reconcile to budget
• Vendor and Contract Management: Work directly with internal and external stakeholders to manage approval and payment processes. vendors, Columbia University Career Collective, CUIT, and SPS Finance Manage vendor approval process to approval new vendors, Work with CDL Senior leaders in negotiating new contracts and effectively track ongoing contract renewals

Operations & Technology

• Outline and maintain a strategy for providing general and technology support to all CDL staff in the operations of in-person and virtual services and programming
• Oversee the diagnoses of routine technology problems; installing new or upgraded equipment; scheduling of regular and special e-maintenance
• Work in various Standing Teams on long-term, school-wide projects, services, and programs as well as Agile Teams for short-term pilot projects and testing
• Serves as liaison to other university offices and serves as a main contact for the office in responding to inquiries from faculty, staff, students, and visitors in a professional, courteous manner
• Oversee operations of CDL inbox and voicemail to ensure prompt communications
• Create & oversee training of CDL staff on new or updated processes, technologies, and safety measures

Events, Space & Technology Management

• Manage the CDL Events & Programs request calendars, establishing processes and procedures for coordinating and executing these events and programs
• Regularly collect, analyze and report on space usage to senior leadership
• Manage the reservation system for the CDL event space, both in the NYC Midtown location as well as virtual Zoom office account
• Manage the maintenance and facility requests of all event spaces, conference rooms, and classroom technology at the CDL
• Manage relationships with SPS divisions and with CDL Employer Relations on hosting non-CDL events

Supervision

• Manage the operational aspects of the SPS graduate internship program and work-study staff; including hiring, onboarding and training; and delegation of assignments to ensure operational coverage
• Supervise and support the Operations Coordinators

Perform other duties and special projects as assigned

Minimum Qualifications

• 4 years related experience
• Bachelor's degree required; advanced degree desirable
• A resume and cover letter with desired salary range must be submitted for this position

Preferred Qualifications

• Master???s degree in related fields
