Brandeis University is delighted to announce a career opportunity as a Finance and Operations Coordinator within Brandeis Innovationâ™s Office of Technology Licensing (OTL). OTL is seeking a meticulous and detail-oriented individual to provide crucial back-office financial support and ensure the smooth operation of the center. This role encompasses managing financial operations, maintaining precise records, and offering support to licensing personnel and other related management duties. Reporting directly to the Associate Provost for Innovation, the Finance and Operations Coordinator must exhibit multitasking abilities, keen attention to detail, independent work capabilities, and strong communication skills.

Major Responsibilities:
Manages all payables and receivables Including the following: processing legal bills for payments to vendors (law firms, annuity payers); prepares accounts receivables bills to licensees and other third-parties responsible for patent expenses reimbursements for review and approval of licensing staff on a monthly basis and subsequent billing to licensees/third parties; manages disbursement of revenues associated with licensees In accordance to Brandeis"s IP Policy.
Paralegal functions Including the management of patent related documents (assignments, small entity forms, etc.), USPTO, annuity payors for all patent related matters. Authorized notary.

Maintains all financial record keeping In office, both paper and electronic, Including all legal bills and expense sign-off, licensing agreements, IIA's, JIA's. Including management of the SOPHIA data management system for all financial records.

Supports licensing personnel to ensure licensee compliance with financial terms of agreements; coordinates with licensing personnel regarding licensee non-payment of patent expenses.

Position Requirements:

• Associates degree; bachelorâ™s degree preferred, with at least 3-5 years of related experience required.
• Understanding of basic accounting, understanding of, or willingness to learn specific business practices of an Intellectual property management office, familiarity with database systems and ability to work with university-based records management systems with training.
• Strong spreadsheet skills and experience with relational databases required.
• Strong accounting, spreadsheet,  problem-solving and computer skills.
• Competent In oral and written communication.
• Attention to detail and flexibility.
