Position Summary

Under the direction of the Divisional Administrator and Division Chief, the Administrative Coordinator is primarily responsible for overseeing the Breast Surgery program as well as support surgical scheduling for Breast Surgery.

Responsibilities

• Maintain academic calendar for Director of the Breast Surgery Program, including departmental meetings and provide administrative support as needed.
• Provides administrative and supervisory support for leadership, as necessary, on issues related to patient care, health care providers' concerns, and operational issues.
• Troubleshoots problems, streamlines and recommends process improvements, and ensures smooth and efficient workflow including taking steps to maximize the patient experience in the practices.
• Overseeing divisional OR scheduling as it relates to Epic and patient flow. Coordinates staff schedules with other practices ensuring coverage in all areas.
• Develop relationship with Breast Imaging/Medical Oncology team to support coordinated and multi-disciplinary care.
• Provides an ongoing assessment of practice operations with suggestions for improvement as needed.
• Works with patient relations and physicians to resolve patient complaints.
• Coordinate travel arrangements and reimbursement as needed.
• Answer high volume phone in a pleasant/responsive manner and direct all calls appropriately.
• Follow all front-end processes including demographic collection, insurance verification and other protocol as mandated by ColumbiaDoctors policy.
• Ensure that all patient visits have billing documentation that is submitted to the billing department billing team, including but not limited to all relevant and accurate patient demographic and insurance information.
• Work closely with billing, authorization and self-pay teams, and respond in a timely manner.
• Work closely with clinical team to ensure that all preoperative clearance and paperwork is obtained and scanned into EPIC prior to surgery.
• Fax consult, office visit, operative, pathology and post op report to referring MDs.
• Provide all check out functions including any ancillary testing required and surgical scheduling with appropriate preoperative testing.
• Ensure proper referrals and/or prior authorizations are in place for office appointments, radiology and surgery as needed.
• Provide cross coverage as needed.
• Complete special projects as requested.
• Conforms to all applicable HIPAA, Billing compliance and safety guidelines.

Minimum Qualifications

• Requires a bachelor???s degree or equivalent in education and 4yrs related experience.

Other Requirements

• Specialized knowledge in accounting, personnel admin or supervision may be required depending on the focus of the position.
• Strong analytical ability and organizational skills.
• Ability to work independently.
• Must know and apply sound supervisory practices.
