Job Summary

The Department of Surgery is the largest surgical department in the School of Medicine with an expense budget over $60 million and revenue generation over $75 million annually. This position requires an in-depth knowledge of University, campus, and UCDHS fiscal and accounting policies, procedures, practices, and organization. Additionally, this position manages the processing of financial reporting, purchasing, accounts payable, accounts receivable, processing of academic payroll, and payroll reconciliation for staff and faculty. This position also provides work direction and training to other Admin Assistants working in the Finance Unit. This position must maintain a work schedule during core business hours and provide additional time as needed to meet project deadlines and operational needs. This position provides analytical support in all areas of fiscal management, as assigned, for the Department of Surgery. Financial responsibilities include financial administration, billing and collections, accounts payable/receivable, travel processing, department contracts, cash collection, gift management/processing, account set-up, payroll, and ledger reconciliation. This position is required to interpret policy and procedure guidelines to ensure compliance. Independently organizes and determines work priorities to accommodate all deadlines. Responsible for accurately maintaining extensive files, including back-up documentation for all transactions by account.

Minimum Qualifications
  • Demonstrated experience and working knowledge of financial, budget and payroll systems, or similarly complex administrative systems. Ability to identify, interpret, and make decisions about many complicated anomalies.
  • Demonstrated experience using financial information systems such as DaFIS, PPS, OPTRS, DS, and Decision Line.
  • Advanced skills using spreadsheet and word processing software applications. Ability to design user friendly accounting reports
  • Must have experience and ability to interpret Policy & Procedures and PPS Manuals and to understand and apply specific policies and procedures.
  • Excellent analytical and problem-solving skills, with the ability to analyze situations, define problems, formulate logical conclusions, recognize alternatives, and recommendations.
  • Ability to analyze financial data and computer reports in order to draw meaningful conclusions.
  • Ability to solve problems quickly.
  • Ability to work with changing priorities and demanding workload and to use independent judgment to make logical decisions.
  • Knowledge of accounting principles and techniques sufficient for accurate analysis and preparation of all payroll and financial activities
  • Ability to work effectively and independently with minimal supervision
  • Advanced computer skills to quickly, accurately produce a wide variety of material
  • Proofreading skills to identify errors and ability to correct errors and produce error-free work.
  • Ability to maintain confidentiality and exercise discretion to make logical, appropriate and independent judgment
  • Ability to use good judgment in notifying supervisor of potential problems and in providing work updates.
  • Skills to exercise independent judgment to research, analyze, troubleshoot, and problem solve inquiries and concerns in an objective and constructive manner; excellent problem solving skills and ability to provide conflict resolution without guidance.
  • Skills to organize projects simultaneously and to set priorities to effect project completion within stated deadlines; ability to complete tasks accurately, neatly and quickly under pressure of deadline and other duties.
  • Ability to interpret and implement verbal or written instructions
  • Ability to be flexible in order to respond to the needs of a multifaceted work area
  • Organizational skills to determine manage and meet priorities and deadlines
  • Skill, knowledge and ability to use tact, patience and courtesy in dealing with a wide variety of individuals
  • Ability to work with others as a team
  • Ability to follow established administrative unit policies and procedures


Preferred Qualifications
  • Experience to train others in DaFis, Kuali, MyTravel, Connexxus, and other systems
  • Knowledge of Purchasing Card policies and procedures, low-value and high value processing


Department Description

The Department of Surgery encompasses a wide variety of surgical specialties. These include bariatric surgery, burn surgery, colorectal surgery, cardiothoracic surgery, gastrointestinal surgery, hepatobiliary surgery, endocrine surgery, pediatric surgery, plastic surgery, transplant surgery, trauma, acute care and surgical critical care surgery, vascular surgery, and oncologic surgery. The Department's extensive surgical expertise, in combination with ongoing teaching and research activities, provide ample resources and advanced surgical techniques for patient care.
