Job Summary
The Radiology Department's Scheduling Program Coordinator serves as the scheduling subject matter expert for Department of Radiology. The Scheduling Program Coordinator oversees production and ensures quality of the Department's various clinical schedules. The Scheduling Program Coordinator is responsible for coordinating and performing complex and varied administrative tasks requiring independent action and the setting of priorities and procedures, implementing effective operational/administrative policies and procedures specific to the achievement of the objectives of the program. Confers with staff and others to provide technical advice, provide problem solving assistance and answer questions about the program and its goals; refers inquiries to others as needed; prepares or assists in the preparation of periodic reports and records on program activities, progress, status or other special reports for management or outside agencies. Interacts and maintaining liaison with staff, faculty and outside/community agencies in facilitating program objectives. To qualify, you must have an Associate's degree with one year of relevant experience. Bachelor's degree preferred.

Principal Duties and Responsibilities
  1. Develop and maintain rules associated with the Radiology Department's Neuro-Radiology, Interventional Radiology, and Pediatric Radiology LightningBolt schedules.
  2. Develop documentation and standard operating procedures for various physician-scheduling processes.
  3. Serve as a backup to administrative assistants who generate the Radiology Department's LightningBolt schedules for each division.
  4. Prepare ad hoc and standard schedule reporting and act as a liaison between schedulers and the Finance Team.
  5. Track physician, fellow, and resident time off requests for the department.
  6. Reconcile and account for additional shifts radiologists pick up, and ensure workload is balanced among radiologists.
  7. Report on FTE/Volume/RVU KPIs to physician and administrative leadership.
  8. Coordinate activities and daily operations of a program.
  9. May prepare or assist in preparation of proposal for funding and/or funding continuation from outside sponsors.
  10. Confer with staff and others to provide technical advice, provide problem solving assistance and answer questions about the program and its goals. Refers inquiries to others as needed.
  11. May prepare or assists in the preparation of periodic reports and records on program activities, progress, status or other special reports for management or outside agencies.
  12. May review applications or other program documents in conjunction with supervisor to determine acceptance or make decisions pertaining to program.
  13. May assist in the coordination of recruitment efforts.
  14. Draft written communication and promotional literature.
  15. May assist in planning workshops, meetings or conferences; coordinates logistics, scheduling and participant communications.
  16. Interact and maintains liaison with staff, faculty and outside/community agencies in facilitating program objectives

To qualify, you must have:
  • Associates Degree
  • 1 year of relevant experience
  • The ability to communicate effectively both orally and in writing and provide empathy in difficult interpersonal situations.
  • The ability to work with diverse internal and external constituencies
