DESCRIPTIONThe Executive Assistant position is part of the Moores Cancer Center at UC San Diego Health, one of only 40 National Cancer Institute-designated Comprehensive Cancer Centers in the United States. This designation is reserved for cancer centers with the highest achievements in cancer research, clinical care, education, and community contributions. Moores Cancer Center strives to stay at the forefront of emerging cancer research in a patient centric environment. Reporting directly to the Executive Business Administrator of the Moores Cancer Center Director's Office, the Executive Assistant serves as a non-clinical resource to support the Physician in Chief executive, oncology and the administrative business operations for directors, senior leaders, and other functional area department teams. The assistant acts as a key liaison between the executive, medical directors, faculty members, and collaborators within UC San Diego and the external community. The assistant acts as a primary resource for the faculty and staff who work in the Executive's Office, and for clinical and non-clinical oncology services teams, while functioning as a point of contact to manage relationships with internal and external partners. The assistant supports the administrative day-to-day activities for the Physician in Chief including calendaring, coordination of meeting logistics (e.g. agenda preparation, meeting minutes, participation accountability, and technology troubleshooting), processing travel and entertainment requests, providing general department support with payroll, personnel issues, informational technology and safety, outgoing/incoming mail and package deliveries. The Executive Assistant analyzes and resolves operational problems of moderate scope, and applies professional concepts to spearhead and triage ongoing administrative and operational assignments in the areas of finances, facilities, payroll, space planning, student services, human resources, communications, event planning, employee morale activities, and partners with teams for database/website management. The assistant provides high-level professional project coordination and administrative support requiring tact, diplomacy, and discretion on a wide variety of complex and sensitive issues. The assistant assists with ad hoc special projects as necessary. The Executive Assistant operates within an environment that requires strong organizational, multi-tasking, and interpersonal skills. The assistant requires excellent administrative management skills with the ability to take initiative, work independently and as part of a team. The assistant demonstrates good judgment in selecting methods and techniques for obtaining solutions, and will design and implement processes to maximize efficiency of workload. The assistant must be able to quickly learn new concepts, be detail oriented, tech savvy, and proactive, while exercising independent judgment and prompt resolution to issues that are sensitive and/or confidential in nature.
