Job Summary

This position serves as a Research Administrator 3, for the Clinical and Translational Science Center (CTSC) at the UC Davis School of Medicine. The incumbent will report to Kari Allen, CTMS Ops Director, and will work closely with the CTMS Associate Director, CTMS Ops Team, and various research related functional offices and programs within and outside the CTSC such as Departmental Study Teams, Contracts and Grants Accounting, Finance, Accounts Payable, and Sponsored Programs. A key function of this position is to support the financial management of clinical trials, ensuring accurate and timely invoicing and billing processes. This position is responsible for coordinating with various stakeholders, including sponsors, investigators, and internal teams, to manage invoicing and financial documentation related to clinical trials in OnCore, the enterprise-wide CTMS, and UC Davis Health financial systems.

Minimum Qualifications
  • Bachelors level degree in related field required and/or equivalent combination of education, training, and progressively responsible professional experience.
  • Possess good investigative skills with a high degree of accuracy and attention to detail.
  • Previous experience in financial management or invoicing, preferably in a clinical trial setting.
  • Familiarity with clinical trial management systems (CTMS)
  • Knowledge of clinical trial budgeting and financial regulations.
  • Proficiency in financial software and tools, including but not limited to Excel and financial management systems.
  • Strong attention to detail and accuracy in financial documentation.
  • Excellent communication and interpersonal skills.
  • Analytical skills to evaluate information, practices, and procedures, formulate logical and objective conclusions, and make recommendations for effective solutions, strategies, and/or approaches. Problem-solving skills to use logic to solve complex and difficult problems with effective solutions. Skilled in time management and priority setting.
  • Ability to organize and analyze finance and other types of data in complex spreadsheets and systems.
  • Skilled in time management and organization to complete tasks independently, sets priorities.
  • Exercise excellent judgment and maintain strictest confidentiality of patient, study subject and academic matters.
  • Knowledge and experience working with key administrative software and computer systems including Windows or Mac OS, Microsoft Office Suite, web browser applications, email applications, and databases.
  • Ability to work independently and also work effectively in a team environment. Administrative skills and ability to exercise good judgment, initiative, and resourcefulness, and to use these skills when managing staff and workload.
  • Ability to set priorities while assigned to multiple projects at a time, and to be flexible when there are changes in workload, pressures or deadlines, competing requirements and program changes
  • Possess excellent organizational skills for scheduling and facilitating multiple educational programs and meetings for large groups, and to complete individual project assignments
  • Excellent communication and interpersonal skills, both verbal and written, to maintain effective relationships with staff, colleagues, and external customers, understand and appropriately respond to multiple and frequent inquiries, requests, and instructions in a courteous, cooperative and professional manner with tact and diplomacy


Preferred Qualifications
  • Bachelor's degree in finance, accounting, or a related field, and/or equivalent combination of education, training, and progressively responsible professional experience.
  • Experience working with industry sponsored and government-sponsored clinical trials (e.g., NIH-funded trials).
  • General knowledge of clinical trial operations, including but not limited to IRB and FDA requirements
  • Demonstrated knowledge of: UC accounting and financial policies related to management of Extramural funding. Experience using generally accepted accounting principles and practices (GAAP).
  • Communicating and applying terms and conditions of various sponsor's, federal, state, and University guidelines, policies, and procedures governing research.
  • Use computer software and web-based financial information system applications to include OnCore, Aggie Enterprise, Cayuse Effort Reporting System and other Windows-based programs.
  • Possess working knowledge of federal & state regulations, GCP guidelines, HIPAA, institutional policies, and SOPs for conduct of human subjects research in an academic environment.


Department Description

The Clinical Trial Management System Operations Office (CTMS Ops) for UC Davis Health is a centralized resource housed within the UC Davis Clinical and Translational Science Center (CTSC). The goal of the Office is to facilitate and coordinate clinical research within OnCore, the institution's clinical trial management system (CTMS). OnCore is designed to manage complex workflows, specifications, budgets, and subject management related to clinical trial research. The CTMS Operations Office provides centralized CTMS services to UC Davis Health clinical investigators and research staff.
