Position Summary

Responsibilities

• The incumbent maintains confidential records including, but not limited to, fellowship budgets, job placement results, and student accounts of more than 120 registered Ph.D. students and 40 M.A. students; tracks and regularly updates job status of graduates; reviews records regularly to determine degree eligibility and certifies for degrees; reviews and complies with departmental and Graduate School of Arts & Sciences (GSAS) policies and procedures; manages and supports the graduate students admissions process.

• The incumbent prepares reports for the Director of Graduate Studies (DGS), the Associate Director of Graduate Studies (ADGS), the Committee on Graduate Education (CGE), and the DAAF, which reports include, but are not limited to, admissions and financial aid, curriculum and job placement.

• In coordination with the DGS, the incumbent prepares Teaching Fellows and Research Assistant assignments each semester, tracks all student research and instructional appointments; organizes and participates in Ph.D. new student Orientation and prospective students Visiting Days; manages graduate program symposia and events, including, but not limited to, graduate student-run events and mock interviews; assists with job placement and coordinates career development workshops for graduate students; maintains email lists and online information for Ph.D. and M.A. students in databases and on relevant web pages; schedules all Ph.D. language/orals/prospectus and dissertation defenses; compiles confidential Ph.D. and M.A. student information for faculty reviews as needed; answers all questions inquiries concerning the Ph.D. and M.A. programs in the Department of English and Comparative Literature.

Minimum Qualifications

• A high school diploma or the equivalent and a minimum of three years of related experience are required.

Preferred Qualifications

• College degree, especially in the humanities, preferred.

Other Requirements

• The incumbent must work with minimal supervision, manage own time effectively, and maintain control over all current projects/ responsibilities.

• The incumbent will serve as a back up for the Undergraduate Coordinator and other team members.

• Maintains confidential records related to the fellowship budgets, career outcomes, and student records.

• Make sound decisions within their scope of responsibilities.
• Excellent organizational and communication skills required. Enthusiasm and interest in working with graduate students. Ability to exercise good judgment, work under pressure and deadlines, and carry out multiple tasks with minimal supervision. Must have excellent demonstrated writing skills, including editing and proofreading. Attention to detail is essential. Highly proficient with PC programs such as Word or Excel spreadsheets, Google Drive and related suites, and Drupal.
