Administrative Assistant, Mendel Center (Part-time) Posting Number: 0000959 Reports to: Executive Director, Mendel Center Department: Mendel Center Classification: Non-Exempt Full or Part-time: Part Time Job Summary: Primary responsibility is administrative support to the Mendel Center Business Manager and the contractors in the Mendel Center department. Assists staff, visitors, and patrons to have a positive rental experience and/or entertainment experience. Must have the ability to work a flexible schedule including occasional evening and/or weekend hours. Essential Functions: 1. Works closely and performs projects assigned by the Mendel Center Business Manager. 2. Serves as a member of event management team, overseeing community events as event manager when necessary. 3. Serves as a member of the day-of-show management team, providing staffing for Box Office and artist assistant activities. 4. Serve as a first point of escalation for patron inquires, including answering email requests in a timely manner. 5. Staffs Mendel Center presence at community events when required. 6. Recommends, implements policies and procedures that support high levels of patron service and operational efficiency. 7. Creates and distributes Mendel Center reports as needed. 8. Manages, updates, and ensure the functionality of The Mendel Center website. 9. Participates in proofreading of marketing and related event materials. 10. Tracks and maintains inventory of box office and Mendel office supplies. 11. Plans, coordinates, and staffs Mendel Center presence at trade shows and special events, as needed. 12. Decorates common spaces as needed for events and holidays. 13. Coordinates artist hospitality, including stocking Green Room, securing accommodation, and ordering meals. Other Duties: 1. Performs other tasks and duties as assigned. Accountabilities: Under direct supervision of the Business Manager, the Administrative Assistant provides quality administrative support. Job Specifications: -High School degree required; Associate degree preferred. One to three years of office/administrative support experience required. -Must possess good interpersonal, critical thinking, and strong organizational skills. -Proficiency with Microsoft Office applications with word processing, spreadsheets required; database and desktop publishing experience preferred. -Must be detail oriented, have strong organizational skills and the ability to handle multiple priorities. -Ability to interact and communicate effectively with faculty, staff, students, and the public in a professional manner that reflects positively on the Mendel Center and Lake Michigan College. -Must have the ability to work a flexible schedule including occasional evening and/or weekend hours.
