This recruitment is for a Temporary Administrative Assistant II position through UCI's internal temporary staffing service. This position can be based out of the UC Irvine campus.
Your Role on the Team
Covered under University series concept / job specification for classification 4723. Under general supervision works on operational and/or procedural assignments that are moderately difficult, requiring judgment in resolving procedural issues. Makes recommendations to improve processes and/or procedures.

Pay Range: $24.66/hr - $25.21/hr
Required:
- Working knowledge in administrative procedures and processes including word processing, spreadsheet and database applications.
- Requires verbal and written communication skills, active listening, critical thinking, multi-task and time management skills.
- High school diploma or equivalent experience
- A minimum of 1 year of experience in an administrative, clerical, or operations role.
- A minimum of 1 year of experience with computer applications, such as Microsoft word, excel and PowerPoint.
- Must have excellent customer service skills.
- Must be able to work in a fast-paced environment and work as a team member as well as independently.
Preferred:
- 1 year of Customer Service experience.
Job Duties:
- The incumbent is responsible for all front desk functions including opening and closing the Center, answering phones and directing calls to the appropriate staff member
- greeting everyone who comes into the Center and directing them to the appropriate person or department
- insuring clients are processed promptly and accurately into electronic medical records and scheduling database
- verify counseling eligibility for UCI Students
- keep front desk supplied with the necessary items for immediate use
- keep front desk fax and printer functioning, update forms, calendars, flyers, and resources as needed, and keep front desk and reception area presentable.
- The incumbent is responsible for maintaining strict confidentiality regarding students' use of any treatment schedules arranged with Counselors in accordance with the Health Insurance Portability and Accountability Act of 1996 (HIPAA, Title II) protocol.
- Under direction from the Front Desk Manager/Assistant to the Clinical Services Directors, the incumbent assists in providing administrative support/
- Backup assistance in providing accurate typing of projects such as correspondence, updating of brochures, flyers, using various computer programs.
- Assists in processing KFS transactions such as Disbursement Vouchers, Purchase Orders, Office of Information Technology Service Request Form (SRF), Facilities Management Requests (FMR), and other University accounting forms as assigned.
- Other administrative duties as assigned.

TEMPORARY EMPLOYMENT
This is a temporary employment recruitment reporting to the UCI Temporary Employment Services (TES) Department. Interviewing and hiring is based on internal hiring needs and how well the candidate's experience matches the assignment requirements. Certain temporary assignments may require clearance of a health physical or require a valid California Driver's License for driving university vehicles.
The majority of our temporary positions are Monday - Friday, 8:00 a.m. - 5:00 p.m. We also have occasional part-time, weekend, and evening hours available, depending on the assignment.
