This position will provide administrative support to the Strategic Partnerships Office (SPO) and Tippie Undergraduate Career Services (TCS) in the Tippie College of Business. This position will serve as the first point of contact for the Strategic Partnerships Office and interact with faculty, staff, alumni, students, corporate partners, and community members. We are looking for someone who demonstrates the ability to work collaboratively across departments, the UI Center for Advancement, and the community. This position is eligible for a combination of on-campus and remote work. Work arrangement options will be discussed during the hiring process. There is the possibility of supervising a student employee in the future. A successful candidate will be a positive, dynamic self-starter, flexible to adapt to unexpected change, and be able to make decisions in a fast-paced environment. This individual must be comfortable interacting with stakeholders of all organizational levels, including C-suite, and enjoy meeting people and networking.

Specific Job Duties and Tasks - Manages general office processes including procurement of office supplies and purchase/maintenance of office equipment.
- Coordinates on-campus meetings and events (company visits, case competitions, career fairs, etc.) including scheduling, communication with attendees, room reservations, arranging for catering, event set-up, securing parking vouchers, and sending thank you notes.
- Provides travel support, including but not limited to car reservations, hotel reservations, and processing receipts for reimbursement with University Shared Services.
- Generates and distributes MOU's, NDA's, invoices, and tracks payment for class projects and Tippie sponsorships following the UI Cash Handling policy.
- Manages office promotional items in compliance with UI brand standards, including pricing, ordering, and managing inventory.
- Administers department Salesforce activity (data entry related to corporate interactions), MAUI, and Swipe (related to student interactions).
- Generates regular and ad hoc reports per requests from Tippie, UI Central, or UIHC (impact reports, volunteer hours, activity status reports, etc.).
- Supports marketing activities including logistics for sponsored events, maintaining digital displays, creating email communications, producing signage, labels, and nametags as needed in compliance with Tippie and UI branding standards.
- Develops graphic framework and creates presentations and reports with content from team. Proofreads for spelling, grammar, visual continuity, compliance with brand standards. (Career Guide, brochures, presentations for internal or external audiences, etc.).
Hybrid within Iowa: This position is eligible for hybrid work within Iowa and will require a work arrangement form to be completed upon the start of your employment. Per policy, work arrangements will be reviewed annually, and must comply with the remote work program and related policies and employee travel policy when working at a remote location. Required Qualifications
- Demonstrates experience (typically 6 months-1 year) and a working level of ability to carry out ongoing office administration tasks effectively and efficiently in support of individuals, teams, and/or units, including proficiency with Microsoft Office suite.
- Demonstrates a working knowledge of and application of the effective communication techniques and relationship building skills required to work with a variety of individuals and groups in a constructive and collaborative manner.
- Demonstrates the ability to make decisions and exercise a moderate level of autonomy while performing administrative support responsibilities.
- Must be highly organized and detail oriented.
Desired Qualifications - Knowledge of University policies and procedures, including financial and human resources policies and experience with university electronic systems including HRIS, MAUI and Workflow processes.
- Demonstrates working knowledge of widely used graphics software such as Adobe Creative Suite.
- Experience working in an academic department.
- Experience creating or improving office operations.
