Position Information: Join our team! The department of Computer Science & Engineering is seeking a detail-oriented and organized Travel, Purchasing & Finance Assistant to manage key administrative functions, with a primary focus on travel coordination, financial support, and purchasing. This position plays a crucial role in ensuring smooth departmental operations by preparing and processing travel and entertainment reimbursements, coordinating travel logistics for faculty, staff, and guests, and assisting new faculty hires with relocation processes. The incumbent will also support the department's financial operations, including reconciling documentation for ledger reviews and processing Salary Cost Transfers in UCPath. Additionally, the role involves handling departmental purchases, providing backup support for event coordination and front office duties, and assisting with payroll-related tasks and service requests. This position is ideal for a proactive individual who excels in a dynamic environment and is committed to maintaining high standards of customer service and operational efficiency.
The full salary range for the Travel, Purchasing & Finance Assistant is $24.59 - $34.85 per hour. We base salary offers on a variety of considerations, such as education, licensure and certifications, experience, and other business and organizational needs.
Applicants must have current work authorization when accepting a UCR staff position. Currently, we are unable to sponsor or take over sponsorship of an employment Visa for staff.

Preferred Qualifications Working knowledge of UCR's on-line applications and service requests systems. Knowledge of University of California policies and procedures related to procurement practices, equipment management, general accounting practices, account reconciliation, travel and entertainment reimbursement, and Internal Audit policies and procedures. Management skills to plan, coordinate, and direct numerous complex activities with competing deadlines and interruptions in a fast-paced environment. Demonstrated time management and organizational skills with the ability to work quickly, accurately, and maintain records with strict attention to detail. Ability to set priorities and use initiative organizing and handling a heavy workload.

Key Responsibilities: Travel Coordination and Reimbursements: Prepare and process travel and entertainment reimbursement in Concur ensuring compliance with UC policies and G-28 Travel and BUS-79 procedures. Coordinate travel arrangements for faculty, staff, students, visiting scientists, and prospective graduate students related to departmental events, including seminars, colloquia, orientation, and faculty recruitments. Provide support for new faculty hires with relocation and reimbursement processes. 35%
Financial Support: Assist the department financial analyst by reconciling backup documentation for ledger reviews and ensuring timely and accurate record-keeping. Process Salary Cost Transfers (SCT) in UCPath, coordinating with the Financial Analyst and Shared Service Center as needed. 20%
Purchasing and Procurement: Serve as the primary point of contact for departmental purchases, utilizing ProCard or purchasing systems to place orders and ensure compliance with University policies and procedures. 15%
Front Office Support: Provide backup assistance to front office staff, including mail distribution, guest reception, and managing copy and print requests. Assist with key check-out/check-in and maintain the key database. 10%
Event Coordination Backup: Provide backup support for the coordination of departmental events, such as seminars, orientation, open house, and faculty recruitment, including logistics and communication with vendors. 10%
Payroll and Administrative Support: Assists and/or serve as back up with payroll related tasks (including quarterly JRED report), coordination and Service Link tickets. Provide backup support with campus service requests (e.g., facilities, IT, catering) and follow up to ensure completion. 5%
