Job Description Summary
The Weitzman School of Design is seeking a Financial Research Coordinator (FRC) to support the rapidly growing Research Support Center (RSC). This position reports directly to the RSC Manager and assists with the pre-award/proposal non-payroll budget development process and is responsible for overseeing the post-award processing of all non-payroll transactions, financial reporting, and ensuring compliance with internal and external research policies and procedures. The center supports all pre-award and post-award funded grant/contract activities of the faculty and research centers including PennPraxis which serves as the applied research arm of the School.

Job Responsibilities
- The Financial Research Coordinator's portfolio includes managing faculty and student awards by assisting in the preparation and review of the non-payroll portion of the budget proposal and assisting with other proposal development activities as it relates to procurement and reimbursement actions.
- Act as the RSC's official liaison on best procurement and reimbursement practices, including the required documentation necessary to successfully complete all types of funded research transactions; provide excellent customer service by responding to and following-up on all faculty, sponsor, client, and vendor requests in a timely manner; deposit checks; run reports in Business Objects to verify budget balances available.
- Manage the post-award process by initiating, processing, reviewing, and approving all funded research procurement and reimbursement activities including, but not limited to, purchase orders, non-purchase orders, wires, credit cards, individual/entity invoices, journals, and travel and non-travel reimbursements according to University financial and sponsored policies and procedures using BEN Financials, BEN Deposits, Concur, Penn Marketplace, and the corporate credit card.
- Assist the RSC Manager with the grant closeout process by reviewing suspense accounts and closing out purchase orders; reviewing and reconciling payments; requesting reissuance of payments, and processing journals. Monitor non-payroll expenditures for compliance with grant and Statement of Work requirements; challenge unallowable expenses; obtain documentation for budget deviations for audit purposes.
- Prepare and submit invoices with the necessary supporting documentation for all incurred costs related to federal grant-funded projects.
- Maintain strong communication with all research faculty and students in the Departments and Centers to build productive relationships.
- Other duties as assigned.
Qualifications
Required
- Bachelor of Science and 2 to 3 years of experience or equivalent combination of education and experience is required.
- This position requires the ability to work well under pressure.
- Must have the ability to work-independently, multi-task, organize, prioritize, communicate effectively, and interact in a professional manner with a diverse faculty, staff, students, and vendors.
Preferred
- A successful candidate should have a considerable knowledge of University financial and sponsored policies and procedures, experience in using University systems including, but not limited to, BEN Financials, PennERA, Grant Financial Management System (GFM), Business Objects, Penn Marketplace, journals, and purchasing cards.
- We are seeking a candidate possessing a pro-active work style with strong follow-up skills and the ability to enhance the RSC's user experience.
