The Office Assistant will ensure the smooth daily operation of the Office of Referral Management & Medical Records at
Ryan Veterinary Hospital.

Job Description

The Office Assistant will ensure the smooth daily operation of the Office of Referral Management & Medical Records at Ryan Hospital under the direction of the Manager and area Operations Leads to ensure daily operational duties are fulfilled. They will foster positive relationships and provide exemplary customer service to both internal and external stakeholders by ensuring timely two-way communication of information regarding mutual patients via a variety of methods (phone, email, internal messaging app, fax, etc.). The Office Assistant will safeguard all medical documentation and ensure the proper filing of all medical records/notes. Assist in maintaining Ryan Referral Database.

Job Responsibilities

Ensure appropriate parties (ie: referring practitioners, clients, insurance companies) receive information in a timely manner regarding patients treated at Ryan Hospital both proactively and when requested.
Ensure communications are logged internally in the Ryan information systems.
Inform manager and operations leads of any issues with hospital systems or procedure
Upload records to EMR system received via fax and medical records group email. Procure other information on an as-needed, real-time basis for Penn Vet clinicians/services and others upon their request.
Maintain organization & completion of on-site records and keep accurate records on off-site records stored in archives.
Retrieve records from designated drop-off areas around the hospital multiple times a day.
Ensure that files are pulled daily from the Medical Records Office via the daily appointment pull list and ensure delivery to the Appointment Desk for appointments the next business day. Pull and maintain accurate records on requested on-site patient files for investigative studies, and recall files from archives when needed.
Request records for upcoming appointments.
Provide customer service: Be a resource for internal employees, referring veterinarians, clients, and insurance companies
Other duties and responsibilities as assigned

Qualifications

High School Grad/GE Degree and 0 to 1 year of experience or equivalent combination of education and experience is required.
Experience in medical records is preferred.
