Accounts Representative for ILR Technology Services & Administrative Applications Position is located in Ithaca, NY, within the ILR School on the campus of Cornell University. The School of Industrial and Labor Relations at Cornell University has an immediate opening for an Accounts Representative - Accounts Representative IV position in the office of Technology Services and Administrative Applications. What you will do: As the Accounts Representative your role will be responsible for providing administrative, fiscal and technical, support for the ILR Technology Services, Desktop, Classroom, Helpdesk and Administrative Applications function. This position serves as the first point of contact and critical source of technical information for ILR faculty and staff. Key Responsibilities: We are seeking candidates who appreciate and will take ownership in the following, and not limited to: - Greet and assist customers via phone and in-person.
- Schedule appointments, meetings and locations using an electronic calendar.
- Act as an information conduit by facilitating communication and collaboration among faculty, staff, and the TS office.
- Serve as a liaison to other University offices by maintaining relationships with internal and external constituents.
- Assist with the collection, preparation, verification and management of moderately complex data.
- Plan, schedule and coordinate logistical arrangements for meetings, retreats, trainings, and travel in collaboration with other office staff.
- Responsible for the ordering of all school equipment including laptops, computers, printers, software, and technical supplies.
- Manage e-Shop/KFS purchases, payment request processing, and travel planning and expense reporting for the office.
- Maintains department administrative databases and coordinates dissemination of information.
A successful candidate in this role needs to have established the following: - Demonstrated knowledge of Capital Asset Management.
- Ability to monitor departmental budget for expenses, balances, investigate discrepancies as needed and assist with state funds for student lab equipment.
- Serve as office lead to advise on policies and procedures in relation to Division of Financial Affairs.
We require these qualifications: - Associates Degree and two to four years of relevant experience or equivalent combination of education and experience.
- Strong interpersonal skills, effective communication skills, and pleasant telephone manner.
- An overall positive attitude and a demonstrated professionalism at all times is essential. Must be comfortable working in an environment where changes in process/procedures are the norm.
- Ability to manage multiple tasks and to prioritize work on projects simultaneously, and the ability to work successfully under pressure at a variety of tasks within a fast-paced, team-oriented, diverse office setting.
- Ability to interact tactfully with diverse groups of individuals.
- Must be able to prioritize requests and manage time effectively to meet established deadlines.
- Ability to take initiative and be a pro-active team member.
- A demonstrated ability to work in a disruptive environment without being distracted is essential. Must have outstanding organizational skills.
- Excellent writing, proofreading, and editing skills.
- A demonstrated ability to maintain confidentiality is essential.
- Expertise in Microsoft products including Word, Excel, Power Point and expertise in Outlook email and calendar.
- Ability to have some flexibility in work hours.
You will be a top candidate with our preferred qualifications: - Minimum five years of experience in an office setting. Prior office experience in a University based setting.
- Knowledge of Cornell University travel and reimbursement and payment request systems.
- Experience with Cornell University Financial Systems such as KFS, Capital Asset Tracking, eShop, vendor management documentation, IWD, and SOW processing
- Prior experience working with HTML or other web development tools desirable.
- Experience supporting large scale projects such as Department moves, software migrations and large hardware replacement projects.
