The Department of Health Policy and Management is seeking a Sr. Administrative Coordinator who will provide high-level administrative support to Dr Eric Bass and other faculty. Responsibilities will relate to research, teaching, clinical practice, and academic leadership. This role will involve coordination of administrative activities, office services, scheduling of meetings, travel arrangements, purchasing, account reconciliation, and record management. The Sr. Administrative Coordinator will interpret operating policies of the University and work closely with the department?s finance and administration team to exercise independent judgment in the resolution of administrative problems. It will be necessary to set priorities and maintain a high degree of professionalism. While this is a full-time hybrid position, the department recognizes that flexibility in work arrangements can improve productivity, morale, and work-life balance. As such, flexible working patterns will be considered as will reduced hours.
Specific Duties & Responsibilities - Serve as administrative coordinator for Dr Bass and other faculty.
- Coordinate scheduling and planning of meetings and conferences, including agendas, itineraries, support materials, and meeting minutes.
- Coordinate seminars, including organizing the calendar, sending reminders, and ordering food.
- Manage membership rosters for programs and interest groups.
- Coordinate travel logistics including transportation, accommodations, and meals.
- Track expenses and prepare expense reports for reimbursements.
- Reconcile expenditures.
- Assist in the production of documents, reports, and newsletters.
- Assist in management of the center?s website.
- Assist with preparation of materials for educational activities.
- Assist with special event planning.
- Prepare correspondence.
- Purchase supplies, maintain equipment, and manage file storage.
- Help update bio-sketches, curriculum vitae, and publication lists for the team.
- Assist with collection and preparation of materials for grant applications.
- Handle telephone calls from patients and enter information into the electronic medical record system.
- Assist in training new employees.
- General administrative duties include, but are not limited to, scanning, copying, sorting mail, ordering office supplies, triaging phone calls, and greeting visitors.
- Determine priorities and maintain a high degree of professionalism.
- Work independently.
- Perform other duties as assigned.
- Work with other departmental coordinators to ensure cover and best practice. Dotted line to the Departmental Administrator.

Minimum Qualifications
- High School Diploma or graduation equivalent.
- Five years progressively responsible administrative experience.
- Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.
Preferred Qualifications
- Bachelor?s Degree preferred.
