Administrative Associate I Loudon County Market Range - MR04 Duties/Responsibilities: The County Extension Administrative Support Assistant II is directly responsible to the County Director. Time allotment will be approximately 30% Agriculture and Natural Resources; 30% Family and Consumer Sciences; 30% 4-H Youth Development and 10% Community Economic Development. Duties include: * Perform Administrative Assistant duties for staff and clientele that meets the needs of all eligible clientele regardless of race, color, national origin, age, sex, disability, religion or veteran status. * Greet clients and answer telephone requests in accordance with general instructions. * Create, proofread, and edit documents including letters, newsletters, and reports. * Maintain county website, calendars, and social media web pages. * Gather and compile information as requested for reports. * Maintain all administrative, departmental, and financial records using the UT system software in compliance with UT fiscal policy. * Process financial transactions using UT software and assist in tracking and maintaining departmental budgetary expenditures. Prepare financial reports using UT software including but not limited to IRIS/SAP, Oracle, Concur, Excel. * Receive, receipt, and deposit funds collected using UT online software. Process Point of Sale transactions according to UT fiscal policy. * Responsible for preparing and processing travel and expense reports for staff per UT policy. * Demonstrate proficiency with Microsoft 365 products and shared electronic files. * Inventory, account for, and maintain equipment, including but not limited to computers, copiers, printers, scanners, projectors, and other equipment. * Schedule meetings, arrange appointments and make travel arrangements as requested. * Stay updated on all Extension policies and procedures and other resources. * Attend administrative training, seminars, and conferences as needed to perform the job. * Assist County Director in maintaining professional office/workspace. * Assume other duties as assigned. Minimum/Required Qualifications (include education, experience, skills & abilities, licenses & certifications): * Must have a high school diploma, or equivalent. * Must have a valid driver license. * Excellent and effective oral and written communication skills to various audiences, strong attention to detail, ability to organize work, multi-task and manage deadlines, as well as maintain confidentiality and provide excellent customer service. * Basic computer knowledge including but not limited to file management, maintaining computer mail lists, proficiency in various Internet browser and storing files to external drives. * Proficient in Microsoft 365 products and social media sites. Preferred/Desired Qualifications: * Additional education beyond high school diploma preferred. * Having completed the Certified Administrative Professional (CAP) certification. * Three or more years office experience preferred. * Extensive experience with Microsoft Teams, Share Point, WordPress and Outlook. * Experience with UT software systems including IRIS/SAP, Oracle, and/or Concur preferred.
