Supply Team Lead
**Work schedule is 5 am-1:30 pm (Monday-Friday) weekends if needed.**
General Description of the Job ClassDirectly responsible for leading all day-to-day activities of the Supply Chain Associates (levels 1 & 2). This includes process improvements, relationship building, establishing and monitoring performance expectations, and maintaining morale. Duties and Responsibilities of this LevelPerform all Supply Chain Associate (levels 1 and 2) job functions and responsibilities at an advanced level while being able to be a mentor/preceptor to the staff. Exhibit exceptional leadership by example while working alongside the Supply Chain Associates (levels 1 & 2.) Additional responsibilities include: Advanced knowledge and application of Inventory Management practices Identify and implement department improvements (safety, process flows, shelf spacing optimization, scheduling, FIFO rotations, cleaning schedules, input and analysis of metrics, tracking daily output and performance of staff, reporting of product outages and increased utilization). Work closely with nursing floors/OR staff to performs all par maintenance functions including adjustments as needed with the assistance from Supply Chain Management Information Systems team (SCMIS) Manage employee job functions and schedule times to meet daily departmental demands Able to work with little or no supervision from manager Plan and schedule work of stockroom, warehouse or receiving/dock personnel ensuring proper distribution of assignments, adequate manning, space and facilities for subsequent performance of tasks. Maximizes employee efficiencies of all shift work and schedules. Manage the attendance of assigned staff (document tardiness, PTO, etc. in API.) Direct assigned staff in the attainment of performance standards and evaluate performance; provide input regarding performance evaluations, hiring and related personnel actions. Meet regularly with department personnel, supply chain leadership and customers to resolve issues of concern. Assist with the development and management of EJRs and assist with the performance reviews of assigned staff. Provide corrective action when necessary. Serve in a preceptor role coaching, teaching and mentoring new employees. Lead all of the day-to-day supply chain functions in assigned area of responsibility that may include receiving/dock, JIT/LUM inventory for Pyxis stations, PAR areas, warehouse, STAT room and procedural areas. Based on assigned area of responsibility and hospital, the following responsibilities may apply: Coordinate with Procurement to address backorders and manage appropriate action and communication to the customer Coordinate with Procurement to keep staff and customers informed of the status of product conversions Review storage locations to ensure the proper rotation of time sensitive items and proper location Lead handling of incoming and outgoing shipments, ensure appropriate entry of Goods Receipts and verification of merchandise Review of shortage or overstock of merchandise and damaged goods and resolve issues when possible Proactively inform management of supply and/or customer issues that are unable to be resolved Establish and maintain effective working relationships with clinical staff and external customers to promote efficient patient care. Serve as SME (Subject Matter Expert) related to supply chain functions to promote single point of contact service for customers for supply chain needs. Review MRP orders to assure appropriate inventory levels are maintained and replenished. Must be able and willing to perform additional job functions (within reason) that are necessary to ensure safe patient care practices as directed by supply chain management. Working at Duke University Health System requires the ability to work cooperatively and communicate well with others to achieve organizational and team goals, to work with professional manner in responding to customers' needs and ability to work in a computerized environment. Required Qualifications at this LevelEducationHS Diploma/G.E.D. required Postsecondary education in logistics, supply chain, business, accounting, finance, or other related field preferred, but not required.
ExperienceAt least 3 years of experience in distribution, warehousing, shipping, receiving, logistics, material handling, customer service, inventory control or other comparable service line required. Experience leading, supervising and/or mentoring staff highly preferred, but not required Postsecondary education in logistics, supply chain, business, accounting, finance, or other related field could offset the experience requirement (one year of relevant education = one year of relevant experience)
Degrees, Licensure, and/or CertificationValid Driver's License - may be required.
Knowledge, Skills, and AbilitiesMust have the ability to exert 20 to 50 pounds of force occasionally, and or 10 to 25 pounds of force frequently, and up to 10 pounds of force constantly to move objects. In this particular job the exertional requirements to push/pull the unloaded and loaded supply carts with the duty requiring up to 100 pounds of exertional force daily. Reaching, lifting, stooping and bending are frequent in daily duties. Ability to introduce change and implement new programs. Possess a sense of urgency and a proactive, customer based philosophy. Possess good interpersonal skills and the ability to foster/build relationships. Ability to be sensitive to the needs of customers through the practice of quality service principles. Possess excellent oral and written communication skills. Possess knowledge of automated materials management functions. Ability to lead by example.
