Position Title: Executive Assistant to the President's Office Unit: Non-Unit Professional (NUP) Reports To: President and Executive Administrator to the President Date: November 2024 Position Summary: The Executive Assistant to the President's Office supports the President in managing the day-to-day operations of the office, coordinates key initiatives, and serves as a liaison between the President and internal/external stakeholders. This role requires exceptional organizational skills, a proactive approach, and the ability to handle sensitive information with the highest level of discretion. Key Responsibilities 1. Administrative Support: - Manage the President's calendar, including scheduling meetings, appointments, and travel arrangements.
- Prepare and edit correspondence, reports, presentations, and other documents for the President.
- Screen and prioritize incoming communications, including phone calls, emails, and mail.
2. Meeting Coordination: - Organize and coordinate meetings, events, and board sessions, including preparing agendas, taking minutes, and ensuring follow-up on action items.
- Coordinate logistics for meetings with internal and external stakeholders, including faculty, students, board members, donors, and other key partners.
3. Communication and Liaison: - Serve as the primary point of contact for the President's Office, ensuring clear communication between the President and various departments, faculty, staff, and external partners.
- Draft and distribute communications on behalf of the President, including official statements, announcements, and memos.
4. Project and Initiative Support: - Assist with the planning and execution of special projects, initiatives, and events led by the President's Office.
- Conduct research and compile data to support strategic decision-making and the President's initiatives.
5. Confidentiality and Professionalism: - Handle confidential information with the utmost discretion and maintain a high level of professionalism.
- Anticipate issues and proactively develop solutions to ensure the President's priorities and goals are met.
6. Relationship Management: - Foster and maintain positive relationships with university stakeholders, including students, alumni, donors, community leaders, and government officials.
- Act as an ambassador for the President's Office, representing the institution with professionalism and integrity.
Job Requirements:
- Education: Bachelor's degree required; advanced degree or relevant certification is a plus.
- Experience: Minimum of 5 years of experience providing executive-level support, preferably in a higher education setting or similar environment.
Skills: - Exceptional organizational, communication, and interpersonal skills.
- Strong writing and editing abilities, with attention to detail.
- Proficiency in office software (Microsoft Office Suite, Google Workspace) and virtual meeting tools (Zoom, Microsoft Teams).
- Ability to prioritize multiple tasks and manage time effectively in a fast-paced environment.
- Proven ability to handle sensitive and confidential information with discretion.
