Job DescriptionPosition Summary: Serves as personal and confidential executive assistant to the Chief Executive Officer. Performs a wide variety of administrative and office management services to the CEO's office as part of a team of executive assistants who also support the Chief Operating Officer (COO) and the Board of Directors. Manages schedules and travel arrangements for the CEO, facilitates effective workflow and communications within the CEO office. Identifies opportunities to enhance efficiencies in processes or through use of technology.
Essential Duties and Responsibilities: Anticipates scheduling needs, analyzes schedule requests, facilitates resolution of scheduling conflicts, prioritizes meetings requests, and coordinates schedules for meetings and appointments accordingly. Plans travel strategically for multiple events to ensure effective use of time. Anticipates support needed for CEO participation in meetings, including itineraries, travel details and meals. Responds quickly to schedule changes. Manages meetings logistics. Provides ongoing assessments of travel and meeting activity. Prepares daily and weekly briefings on upcoming activities, meetings, appointments and travel, reflecting staff input and background information. Keeps thorough and accurate records of interactions with outside individuals through letters, phone calls and meetings. Collaborates and coordinates closely with two other Executive Assistants in the CEO office to ensure effective coordination of schedules, communications to key stakeholders, planning logistics for key events and effective support for the Board of Directors. Manages all correspondence to the CEO, ensuring timely responses to inquiries. Develops draft communications and correspondence. Ensures proper follow up and coordination for inquiries and collaborates effectively with colleagues to foster effective communications among groups. Coordinates schedules and meetings with senior staff members, advises staff of travel plans and appointments as appropriate, identifies and gathers background, supportive information and materials. Manages accurate lists of stakeholder groups and distributes regular and routine communications regarding travel (including travel notifications, informational updates and conference call information). Ability to develop and foster relationships and build contacts to arrange high-level advocacy meetings is valuable. Provides various Board of Director committees with administrative support such as scheduling meetings, preparing agendas and posting materials on Diligent Proposes and plans events, large meetings and programs. Coordinates logistics and works with colleagues to ensure meetings run smoothly and effectively. Plans and tracks expenditures for travel and expenses. Provides strategic analysis of travel budget and key metrics of performance. Provides support on new projects or significant initiatives in the CEO office as assigned.
Direct Reports to this Position: N/A QualificationsFormal Education Required: High School or GED required. Associate's degree preferred.
Experience and Credentials Required: 8 years of administrative support experience with at least five (5) years' experience supporting at the executive level. Knowledge, Skills and Abilities Required: Ability to communicate, both verbally and in writing, with a diverse membership, employees and/or vendors in a clear and precise manner. Ability to manage competing deadlines and multiple projects at various stages of development using effective organization skills and attention to detail. Ability to work with a wide variety of people to foster cooperation in sharing information and materials. Interpersonal skills, member service orientation and ability to work in a team environment. Ability to provide service excellence by building relationships, being resourceful, responsive, and respectful. Exhibits a steadfast commitment to discretion and confidentiality, ensuring the safeguarding of sensitive information and upholding the highest standards of professionalism in all executive support duties. Ability to use Microsoft Office tools (Excel, Word, Outlook, Power Point) in the day-to-day essential duties of the job. Ability to operate various office equipment such as personal computer, copier, printer, or other office equipment. Travel to Annual Meeting may be required.
Preferred Experience: Experience using Diligent Boards and SharePoint, but can be acquired on the job Familiarity with U.S. Administration, Capitol Hill, Association and industry leaders and protocols is helpful, but not required.
