The Administrative Business Manager position in the College of Engineering is essential for managing the department's finances, human resources, and operations, ensuring efficient resource allocation and policy compliance. Collaborating closely with the department chair, the business manager supports strategic planning and provides critical budget and resource management insights. This role involves analyzing financial data to aid in informed decision-making and aligning departmental activities with long-term goals. Additionally, the Administrative Business Manager facilitates effective communication and coordination among faculty and staff, driving the department's success in academic and research initiatives. Key Responsibilities and Duties: Financial Management and Business Planning Prepare and review the annual budget, analyze budget variances, and identify potential shortfalls. Manage finance and accounting practices, develop spending policies, and ensure alignment with MSU guidelines. Implement spending plans for endowment accounts and track utilization. Keep departmental personnel informed of financial policies to ensure compliance and ongoing education. Staffing and Human Resources Management Lead strategic staffing initiatives to optimize organizational efficiency and manage departmental staff, overseeing recruitment, orientation, performance evaluations, and terminations. Maintain updated position descriptions, conduct performance reviews, and support staff development. Develop and implement unit policies in alignment with university HR guidelines, address employee relations issues, and foster a positive work environment. Manage staff compensation, raise processes, and coordinate training and development opportunities. Strategic Planning and Advocacy Assist in formulating strategic plans aligned with the Dean’s Office objectives and develop business and administrative plans to support academic and research programs. Serve as an advisor to the Chair, representing departmental needs in negotiations with college leadership, and collaborate with the college to advance departmental priorities and initiatives. Faculty Support and Development Provide strategic guidance and data analysis for faculty recruitment, retention, and compensation, ensuring salary equity. Collaborate with the Chair and Dean’s Office to secure resources for faculty positions, manage recruitment and onboarding, and oversee appointments, promotions, and tenure processes. Ensure compliance with university policies and facilitate required training. Student Support and Educational Programs Collaborate with the Chair and Dean’s Office to allocate resources for student needs and programs. Oversee graduate student support, course scheduling, and grade submissions while managing teaching assignments in Campus Solutions. Space Management and Facilities Coordination Maintain and report space inventories, manage capital equipment with technicians, and facilitate faculty/staff moves while resolving access issues. Ensure compliance with safety policies, including evacuation protocols and injury reporting. The College of Engineering embraces a hybrid work model, offering flexibility for both in-person presence and remote work. Minimum RequirementsKnowledge equivalent to that which normally would be acquired by completing a four-year college degree program in a business-related field or in a field which corresponds to the particular department of employment; eight or more years of related and progressively more responsible or expansive work experience in office procedures and administration, or in performing responsibilities related to the operational activities of the employing unit; experience in a supervisory role; experience with word processing, database, spreadsheet, presentation software and/or desktop publishing, web page software; or an equivalent combination of education and experience. Desired QualificationsExperienced in fostering collaboration with diverse faculty, staff, and students. Proficient in MSU policies and procedures, with strong leadership, organizational, and team management skills. Background in higher education or academic departments. Familiarity with Microsoft Teams and Office 365 is a plus.
