Student Administrative Assistant

Provide administrative support necessary for efficient operation of educational programs within the Survey Methodology Program (SMP) in the Survey Research Center at the Institute for Social Research. This position will report to the Student Administration Manager and may occasionally be responsible for the supervision of temporary staff. 30% (12 hours) Admin of Educational Programs Under the supervision of Educational Programs Manager, assist in the coordination of all aspects of the educational program activities. Schedule and assist with necessary administration meetings to plan and establish an annual schedule, provide instructor and classroom assistance as required. Assist with relevant portions of the admission process including review of applicant materials, communication with applicants and coordination with relevant faculty and staff who oversee final admissions and funding decisions. Maintain knowledge of University visa requirements, knowledge of accounts payable and receivables and ability to reconcile to ensure accuracy. Assist with annual budget planning and reconciliation. 25% (10 hours) Advertising and Recruitment of Educational Programs Coordination of annual activities necessary to advertise educational programs within the Survey Methodology Program (SMP). Develop materials and plans related to advertising of the programs and the recruitment of students to apply for the programs. Analyze previous year's results to provide sound suggestions for annual improvement of these efforts. Participate in recruitment events as determined necessary as part of departmental marketing and student recruitment plans for all of the educational programs. Assist Educational Programs Manager with planning, implementation and reporting of marketing and recruitment plans. Develop an annual plan for use of social media, email campaigns, and other relevant activities to maintain the visibility of educational programs on UM campus and beyond as determined by the Educational Programs Manager. 25% (10 hours) Website and Database Management Work with Educational Programs Manager and SMP faculty for the website content and ISR computing support and Communications department for the website design and maintenance. Assure that annual updates of educational program websites are implemented in relation to established deadlines. Periodically check to make sure all links are functioning. Work with ISR computing support with any website issues including Google indexing reports, content management system upgrades, and design changes. Manage updates and access for student and alumni portal. Update databases with upcoming year's current information. Use Google reports for planning of possible changes to the website. 20% (8 hours) Overall Support Advanced administrative support to faculty members including director(s) of the educational programs within SMP, Educational Programs Manager and (academic advisor). Weekly meetings with Educational Programs Manager to determine priorities and needs of the educational programs.
