Job Summary: | This position will provide administrative assistance to the Department of Psychiatry's Vice Chair of Patient Services and the Ambulatory Medical Director at the School of Medicine and Public Health. This position interfaces and serves as a liaison with Department of Psychiatry staff, faculty, and leadership, UW Health Behavioral Health Staff, UW Health Administration, School of Medicine and Public Health Administration, and outside administrators (local, regional, and national). This position will also provide limited administrative support for Department of Psychiatry Clinical Faculty including license renewal, compliance tracking, and maintaining up-to-date call/paging calendars across scheduling platforms.
This position will work closely with other Medical Program Assistants and Coordinators in the Department, providing support and back-up for one another on an as-needed basis. | Responsibilities: | Performs administrative duties to support providers, staff, services, and unit programs. May serve as the primary contact or customer service representative and subject matter expert. Tracks, prioritizes, organizes, and completes multiple ongoing clinical, research or academic projects. Requires Health Insurance Portability and Accountability Act (HIPAA) and Personal Protective Equipment (PPE) knowledge or training. - 10% Performs administrative tasks including telephone customer service, word processing, transcribing, filing, and calendaring
- 10% Acts as the primary liaison for providers or programs and refers stakeholders to providers, agencies, patients, and staff
- 40% Assists in coordinating the complex daily activities of providers or program(s) by entering information into databases, maintaining files and materials, and preparing reports
- 5% Serves as the primary contact and subject matter expert for specified program policies and procedures
- 5% Coordinates with senior management to define program goals and fiscal objectives
- 5% Identifies opportunities for program improvements and makes recommendations to the appropriate entities
- 20% Schedules logistics and secures or distributes resources for program meetings, department events, conferences, and travel
- 5% This position is also responsible for set-up and tear-down of Department events, conferences, and meetings that they plan. This may include providing additional support for other administrative team members when the need arises.
