Job: Administrative AssistantJob Summary: Under the direction of the Executive Director and Associate Directors of Financial Aid, the Financial Aid Document Assistant(s) will provide administrative support and document assistance to the overall operation of Barnard's Office of Financial Aid. She/he will assist with material management and front of house duties, such as email and phones.Job Description: DUTIES: 1. Receive, upload and review for completeness all financial aid materials through upload services (IDOC, Slate, email, etc). Ensure appropriate status of documents are entered in PowerFAIDS. 2. Follow established procedures to ensure accuracy and the confidentiality of information in the Financial Aid Office. 3. Assist with missing document communications with incoming and current students. 4. Assist with outside scholarship documentation and status. Coordinate with necessary departments to ensure funds are appropriately applied to the student account. 5. Assist with departmental phones and emails. 6. Advise students and their parents concerning federal, state and Barnard financial aid policies and procedures: communicate effectively with those calling or walking in with questions. Troubleshoot problems that students and parents are having and determine if they need to see an aid administrator; schedule all appointments. 7. Follow established procedures (state, federal and Barnard) to ensure the confidentiality of information in the Financial Aid Office. 8. Assist in gathering data, writing and typing reports and disbursing funds to the Controller's Office through Colleague. Assist with the maintenance of the financial aid module of Colleague. 9. Receive and process Grant/Job/Loan Agreement forms and the Scholarship Questionnaires. 10. Work closely with the Bursar's Office in maintaining an Excel spreadsheet and record the receipt of outside scholarships in Datatel and PowerFAIDS. Follow up with students and organizations issuing the outside scholarships to resolve problems or other issues. 11. Responsible for data entry and reconciliation of the office credit card account. 12. Open and distribute mail; keeps inventory of office supplies and order replacements; make rooms reservations as needed. 13. Other related duties as assigned. Skills, Qualifications & Requirements: KNOWLEDGE, SKILLS & ABILITIES: - Strong organizational skills and the ability to work efficiently under pressure.

- Fast and accurate computer skills; ability to work with word processing, spreadsheets and databases.
QUALIFICATIONS:
- BA or BS (preferred) or equivalent combination of education and work 1 to 3 years of relevant office experience
- Demonstrated interest in a career in financial aid or higher education preferred. Familiarity with Barnard College and/or a liberal arts college or higher education
- environment is helpful.
This is a 2110 grade VIII position. Pay Rate: $33.80/hour The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training.
