Job Summary:
The Academic Coordinator will oversee undergraduate education coordination for the Departments of Genetics, Cell Biology and Development (GCD) and Biochemistry, Molecular Biology and Biochemistry (BMBB), manage BioGen Fellowship administrative tasks, and provide programmatic assistance for the graduate programs in BMBB and MCDB&G. This role will support the BioGen Center with administrative duties, contribute as a collaborative team member, and provide backup assistance to ensure smooth and uninterrupted operations

Duties and Responsibilities:

Academic Coordination (80%)

• Undergraduate Education Coordination: 
  • Train and oversee undergraduate program coordination for BioGen, including managing classroom reservations, entering courses into CourseDog, and tracking and granting permission numbers.
• Fellowship Coordination: 
  • Administer BioGen Fellowships by working with fellowship recipients, grant administrators, and PIs to ensure accurate and timely reporting and appointment of fellows.
  • Work with HR teams to enter fellowship appointments, manage pay changes, and terminate outgoing fellows.
  • Submit tuition and health insurance documents for fellows, working with BioGen accounting to track expenses.
  • Track matriculation of fellows using the NIH XTrain and xTRACT systems.
  • Work with BioGen pre-award team to collect and format data required for training grant submissions and renewals.
• Graduate Program Assistance:
  • Support BMBB and MCDB&G Graduate Program Coordinators with event coordination, document preparation, material updates, and purchasing.

Administrative Support for BioGen Operations (15%)

• Assist with day-to-day administration, including purchasing, front office management, scheduling, meeting agendas, and marketing materials
• Update and maintain the BioGen intranet and websites.
• Collaborate with team members to develop and streamline best practices, guidelines, and procedures.

Other Administrative Duties for BioGen Operations (5%)

• Faculty PCard reconciliation
• Expense submissions in ChromeRiver for department heads.
• Prepare materials for meetings and events
  
  
  
  Supervision:
  This role may provide informal training to other employees and supervise student workers as needed.
  Work Environment:
  Hybrid position with no less than three-days on site
  Salary Range:
  $22.71 - $34.08 per hour
