JOB DESCRIPTION SUMMARY This position provides strategic and tactical support to the division, department, and/or city office. Team members in this role support development operations regionally or nationally through the coordination and execution of various processes, programs, projects and tasks that foster improved operations JOB DESCRIPTION - Â Provides support and assistance to key business leaders, and others by fielding questions and requests, gathering data and reports, and assisting in resolving issues related to operating policies, procedures, and Company business practices.
- Prepares documents, letters, presentations, and other communication materials for internal distribution, types and spell-checks documents, creates graphs and other displays, complies with document retention policies, and acts as liaison for questions related to communication.Â
- Participates in or completes special projects and other assignments by planning and coordinating tasks and activities with other team members, contracting with vendors, service providers, and other internal or external resources as needed, and following through to complete specific tasks and activities. Â
- Organizes, schedules, and orchestrates executive briefings and meetings by establishing the objectives, timing, agenda, format, and participants for meetings, sending meeting requests, gathering or preparing and distributing meeting materials in advance, documenting meeting notes, decisions, and action items, and following up as needed to ensure achievement of meeting outcomes.Â
- Maintains calendars for meetings, events, and other appointments, schedules appropriate meeting rooms/locations and time, and resolves scheduling and other conflicts as necessary to ensure effective use of time and resources.Â
- Supports Development Team's project management responsibilities by administering the processing of contracts, change orders and draws / invoices. Communicates with consultants and city staff regarding plan checks and other project related issues. Manages and organizes detailed project files, and maintains archival process of all documents for new developments.
- Coordinates with Directors on contract creation, including but not limited to:Â contract process, documentation, scope clarification, schedules, project budget and schedule of values.Â
- Ensures contracts and change orders are in compliance with all company standards, procedures, risk profiles and verifies they are complete and accurate.Â
- Works closely with investment to execute and track the status of contracts, change orders, project close-outs, invoices, draws and budgets. Responsible for the collection of W-9, verification of ownership entities, contractor license and communication with Accounting.
