Position SummaryThe Foundry for Innovative Research and Education (FIRE) team within the College of Osteopathic Medicine at Michigan State University is seeking a highly organized Office Assistant to manage administrative tasks to support the administration of FIRE which integrates medical education, community-engaged research and outreach services. Primary responsibilities include providing administrative support to all members of the team, which will include scheduling meetings, handling meeting logistics, assisting with travel arrangements, ordering supplies and tracking inventory, managing communications, and handling a variety of other important tasks to ensure the program aligns with institutional goals and COCA accreditation requirements, academic excellence advancement, fostering cutting-edge medical education research, and enhancing community outreach initiatives. This position will require occasional travel to the three MSU campus locations.
Minimum RequirementsKnowledge normally acquired through a high school education; three to five years of related and progressively more responsible or expansive work experience in word processing, spreadsheet, database and/or desktop publishing software; presentation and webpage software; typing and filing; maintaining accounting ledgers; may require knowledge of technical or medical terminology and/or technical knowledge or training related to the field of employment; or an equivalent combination of education and experience. Desired QualificationsAn ideal candidate for this role would have proven experience as an administrative assistant or similar role; Excellent organizational and time management skills, with the ability to prioritize tasks and multitask effectively; Strong communication skills, both written and verbal, with a professional and courteous demeanor; Proficiency in using office software and productivity tools, including Microsoft Office Suite, Google Workspace, and project management platforms; Familiarity with remote collaboration tools such as Zoom, Slack, Microsoft Teams, or equivalent; Attention to detail and accuracy in data entry, document preparation, and correspondence; Ability to work independently with minimal supervision while maintaining a high level of productivity and professionalism; Flexibility and adaptability to changing priorities and dynamic work environments; Commitment to upholding confidentiality, integrity, and professionalism in all aspects of the role; Previous work in an academic setting.
