Scheduled Hours40Position SummaryCoordinates and performs a wide variety of administrative tasks and provides administrative support for department head.Job DescriptionPrimary Duties & Responsibilities: - Provides administrative and academic program support, ensures all protocols are followed, coordinates the fellowship program from interview to onboarding of candidates, including Visas; serves as liaison to and assists fellowship director and faculty with evaluations, reviews, schedules, and rotations.
- Responds to inquiries requiring an in-depth knowledge of the department/division/school and/or university policies and procedures.
- Ensures inquiries are addressed and resolved timely.
- Schedules and coordinates diverse and complex appointments, meetings, seminars and travel arrangements.
- Prepares complex itineraries for multiple constituents. Prioritizes and maintains daily appointment calendar for multiple senior faculty.
- Handles all meeting details, confirmations and back-up materials. Prepares and submits travel expense reimbursement according to guidelines.
- Regularly handles confidential or sensitive information; drafts and finalizes letters, email messages and other communications. Initiates, writes, creates and reviews various communications such as newsletters, event schedules, social media, departmental information, and mailings; use desktop publishing software to lay out documents; manages multiple list servers like Mailchimp.
- Documents created require little additional review. Coordinates administrative aspects of the faculty appointment and promotion process. Track and reconcile expenses, run and analyze reports; perform or oversee all online systems entry of documents for fellowship and conferences.
- May coordinate submission of research proposals/grants; assist with complex grant applications. Plans and coordinates special events including all details associated with event; negotiates with vendors; oversees, troubleshoots and resolves special situations that arise during event.
- Manages event budget. Provides information and assistance to foreign national faculty, fellows, and staff.
- Oversees all office supplies and equipment. Reviews and recommends supply budgets and vendors. Uses signature and purchasing authorization. Ensures proper functioning of equipment
- Performs other duties as assigned.
