About the Position: The Dean of Students Office helps Titans reach higher by serving as an advocate for students, connecting them to appropriate university resources, and collaborating meaningfully with the campus community. We assist students in navigating the university and resolving educational, personal, and other concerns that impact the quality of their Titan experience. We are seeking an exceptional individual to join our team as the Administrative Support Coordinator II. The ideal candidate in this role should have a positive attitude and an active, energetic mind characterized by highly ethical practices and a commitment to diversity, openness, flexibility, integrity, and kindness. Under the general direction of the Director of Basic Needs Services, the Administrative Support Coordinator I is responsible for providing administrative support to the overall operations of Basic Needs Services which includes the Basic Needs Center and specialized programs (e.g., CalFresh Outreach and Enrollment Days, Hunger and Homelessness Awareness Week, Campus Resource Fairs, etc.). This position often serves as the initial contact with students, faculty, staff, academic departments/colleges, other offices on campus, community partners, and the public. The Administrative Support Coordinator II assists in coordinating events and is responsible for drafting meeting agendas, preparing meeting minutes, and generating reports. The Administrative Support Coordinator II oversees the Basic Needs Center (e.g., ordering supplies, maintaining the BNC space), monitors department and programmatic budgets and tracks expenses, reconciles monthly procurement card statements, and supports travel process. Serves as the Basic Needs Services Digital Information Technology Coordinator (DITC), assists with onboarding tasks for new hires, and maintains electronic records of department processes and systems needed to facilitate operations. Provides support for staff recruitments and student employment hiring, and leads, trains, and schedules student assistants. Provides administrative support (e.g. reconciles monthly procurement card statements and supports travel process) to the Care Services department as needed. Other duties as assigned. Essential Qualifications: High School diploma or the equivalent and five years of progressively responsible experience in general office, clerical or secretarial work or the equivalent. Comprehensive and detailed knowledge of applicable university infrastructure, policies, and procedures. Thorough mastery of English grammar, punctuation, and spelling. Expertise in using office software packages, technology, and systems. Ability to independently handle multiple work unit priorities and projects. Ability to independently interpret and apply policies and procedures and use judgment and discretion to act when precedents do not exist. Ability to troubleshoot most office administration problems and respond to all inquiries and requests related to work area. Ability to understand problems from a broad perspective and anticipate the impact of office administration problems and solutions on other areas. Ability to analyze operational and procedural problems and develop, recommend, and evaluate proposed solutions. Ability to perform business math, analyze budgetary data, and make accurate projections requiring some inference. Ability to effectively write and present own reports. Ability to effectively handle interpersonal interactions at all levels including highly sensitive interpersonal situations. Ability to use negotiation and persuasion skills to achieve results and expedite projects. A background check (including a criminal records check) must be completed satisfactorily and is required for employment. CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to complete the background check satisfactorily may affect the continued employment of a current CSU employee who was conditionally offered the position. Preferred Qualifications: Bachelor's degree from an accredited four-year college or university. Experience of at least three years working in administrative support. Experience working in higher education, especially with diverse student populations. Must have ability to work in a fast-paced environment with multiple interactions. Knowledge of general accounting, purchasing, and budget procedures within the California State System. Website editing experience. Excellent organizational skills.
