Job Description Summary
Community Care effectively manages social events for all Penn student groups-at both the undergraduate and graduate levels-by implementing programs and services that promote a safe, inclusive, and caring campus environment. In collaboration with the Associate Vice Provost for University Life, this role engages in thoughtful conversation, writing, and strategic planning to demonstrate the potential for Community Care at Penn to support students and strengthen our community holistically.
Job Description
Job Responsibilities
- The Associate Director will oversee the effective management of social events for all Penn student groups at both the undergraduate and graduate levels by implementing programs and services that promote a safe, inclusive, and caring campus environment.
- Leads the recruiting, hiring, payroll and training of 25-30 Event Observers, part-time temporary University Life employees who provide on-the-ground support at student-hosted social events, and supervise graduate student.
- Lead outreach efforts to raise awareness of event registration among students and staff. Develop presentations and trainings for various contexts and partner needs. Participate in wider campus conversations about student safety and wellbeing. Oversee the design and upkeep of the Event Registration web page on the University Life website.
- Serve as a consultant for various campus entities regarding hosting events with alcohol (e.g., Athletics, Graduate Student Center, CHAS), helping to ensure compliance with relevant laws and University policies and promote effective risk management and harm.
- Propose and manage budget for yearly social event registration costs. Ensure timely payment of outside vendors (e.g., bartending and security staff) by reviewing, editing, and submitting invoices for processing. Send invoices to student groups responsible for reimbursing University Life for staffing costs, when appropriate.
- Serve in an on-call capacity after hours to support Event Observers and coordinate any immediate next steps when an emergency or serious concern arises at a social event. Promptly contact appropriate partners to ensure situational awareness in real-time. Provide additional on-the-ground support as needed.
- Host weekly Weekend Debrief meetings and coordinate relevant follow-up. Serve as a liaison to Wellness at Penn (e.g., follow up on alcohol transports to ensure continuity of care). Work with Executive Director, Office of Student Affairs (OSA) to address opportunities or concerns related to non-Greek student groups and hold event hosts accountable for any issues. Consult with the Center for Community Standards and Accountability (CSA) and the Office of Fraternity and Sorority Life (OFSL).
- Creates and maintains robust systems and processes for collecting data and continually assesses our approach to community care.
Qualifications
- Bachelor's degree and 3 to 5 years of experience or equivalent combination of education and experience is required; Master's preferred.
- Event coordination experience strongly preferred, including but not limited to recruiting and hiring event staff.
- Experience managing budgets and payment processing with internal and external partners/vendors.
- Strong attention to detail and the ability to manage data/tracking at scale.
- Excellent communication and stakeholder management skills required.

Salary offers are made based on the candidate's qualifications, experience, skills, and education as they directly relate to the requirements of the position, as well as internal and market factors and grade profile.
