Job Description Summary
Manages all University Affairs activities for 180+ faculty members of the Cardiovascular Division, including recruitment, appointments, reappointments, promotions, credentialing and affirmative action at Penn, PAH, PPMC and for Penn Medicine Clinicians. Serves as the primary liaison for the division and the School of Medicine for Faculty Affairs. Develops annual appointment and promotions plan for the Division as well as the multi-year faculty recruitment strategic plan. Serves as primary interface between faculty affairs and clinical practice managers to complete on-boarding process for new faculty. Manages two faculty affairs coordinators, one based at HUP and the other based at Penn Presbyterian Medical Center. The successful candidate must be able to multitask and manage multiple projects with simultaneous deadlines, as well as work collaboratively.

Job Responsibilities

Initiates faculty reviews based on School of Medicine's timeline. Oversees appointments, reappointment and promotion activities for all cardiology faculty, research, adjunct, clinical and academic support staff including Presbyterian and Pennsylvania Hospital. Manages two faculty affairs coordinators, one at HUP and one at PPMC. Ensures they are submitting complete and accurate dossiers for faculty appointments, reappointments, and promotions to the Department of Medicine/Office of Academic Affairs a timely manner. Supervisor of faculty affairs Coordinators responsible for overall performance management, training, HR functions, recruitment and retention.
Oversees strategic planning for high volume division faculty recruitment, including development of the multi-year recruitment plan. Ensures faculty affairs coordinators post placement ads, compose formal search letters, and search documentation; conduct searches and recruitments in compliance with PSOM and University AA/EEO guidelines. First point of contact for academic-related faculty enquires in person or by email. Manages all steps of faculty recruitment and onboarding. Reviews draft offer letters and compensation statements for accuracy. Manages work of assistant faculty affairs coordinator in recruitment responsibilities including: travel and hotel arrangements, scheduling candidate interviews, and drafting offer letter and compensation statements. Provides mini-orientation sessions with new faculty for overview of academic appointment.
Supervises faculty affairs coordinators in credentialing for new appointments and reappointment. Ensures complete applications for initial appointments and reappointments. Oversee medical malpractice insurance. Work with Associate Chief of Clinical Affairs for credentialing reviews and issues. Ensures up-to-date and accurate records of all faculty appointment and hospital credentialing activities are maintained by faculty affairs coordinators. Works with the UPHS Office of Medical Affairs and Division Administrator to ensure accuracy of data.
Work with the Office of International Programs for faculty and visiting scholars on employment based immigration visa, along with submitting and processing applications in the iPenn system and checks for Visa processing (submitting Non-PO requests).

Manages the work of the faculty affairs coordinator assigned to the FPPE process. Ensures FPPE are completed and stored in compliance with the Joint Commission.
Manages Cardiology division Faculty Affairs advertising, travel and recruitment budget. Ensures expenses are in line with budget. Approves expenses for travel versus remote interviews based on budget. Reconciles budget variances.
Perform additional duties as assigned.

Qualifications

Bachelor's Degree and 3 to 5 years of experience or equivalent combination of education and experience is required.

the pay range assigned to the job profile.
