The Department of Orthopaedic Surgery is looking for a GME Program Administrator to join our GME Residency/Fellowship Team. This position reports to the Chief Department Administrator of Orthopaedic Surgery with functional supervision received from the residency program directors. Administration and maintenance of residency program - Manage the overall administrative and operational aspects of the educational programs
- Represent the department on administrative matters related to residency/fellowship/medical student clerkship with faculty and staff
- Oversee credentialing process to ensure all start on time (annually 8 residents, 2 fellows, 13 SPT's)
- Oversee the resident recruitment process
- Supervise, mentor and oversee residency/fellowship coordinator
- Provide mentoring and guidance to the Trinity Program Coordinator
- Develop, revise and maintain policies and procedures for residency program
- Assist PD with remediation plans and resident counseling sessions
- Assist PD with maintenance of curriculum (fellowship as needed)
- Work with Contracting Office and GME for all elective off-site rotations to assure contracts are in place prior to rotations.
- Assist PD's with Annual Program Evaluation - internal GME credentialing and program improvement documents
- Assist PD with Dean's Dashboard annual program metric improvement required for each program/fellowships
- Reporting to the GME for monthly HO activities
- Update departmental website for resident issues and activities related to our education program
- Organize large amounts of information including PMID spreadsheets
- Apply and maintain Category 1 CME credit for Grand Rounds
- Meet with Department Development Director to coordinate activities for departmental development as well as stewardship for donors
- Development and maintenance of alumni relations
Outside Reporting Agencies
- Complete Annual National ACGME Census Update
- Serve as resident/fellow consultant on multiple levels (program, GME, American Association of Orthopaedic Surgeons (AAOS), American Board of Orthopaedic Surgery (ABOS), House Officer Association (HOA), personnel, licensure)
- Track scholarly activity for faculty/residents for ACGME WebADS
- Accreditation Data System/Case Log System Operative Management - this is for program compliance and is important for program maintenance and continued accreditation
- Assist PD with external review and ADS preparation for Residency and Fellowships
- Operative data collection (ACGME Case Log System)
- Ensure residents are meeting minimum surgical case requirements as directed by the ACGME
- ABOS reporting as required for program certification and to allow residents to sit for their board examination
- MLearning and JCAHO compliance for all residents and fellows (internal regulatory compliance programs)
Finance/Budget - Oversee GME budgets related to Residency and Sports Fellow
- Develop budget and invoice Trinity for residency related expenses per contract with Trinity
- Monitor and reconcile departmental accounts to assure accuracy of charges
- Apply for grants as appropriate to help fund residency travel
- Stewardship for alumni donors for resident travel
- Annual promotions paperwork for yearly cycle of resident promotions
- Process House officer holiday pay according to HOA Agreement
- Trouble shoot all payroll issues
- Candidates should hold at a minimum an Associate's Degree.
- Three to five years of progressive GME experience
- They should be able to demonstrate a proficiency with Microsoft Office Suite
- Experience with GME and accreditation processes
- Experience with GME applications (ACGME. ERAS, NRMP, Medhub, ABOS-KSB)
- Excellent organization and multi-tasking skills and the ability to take initiative and exercise judgment in setting priorities,
- Demonstrated ability to apply good judgment and handle confidential materials and situations with sensitivity and discretion.
- Excellent problem-solving skills, initiative, flexibility and creativity.
- Excellent written and verbal communication skills
