![]() EXECUTIVE SECRETARY Position Number: S-3619 Position Summary: The Executive Secretary provides comprehensive administrative support to the Chief Transformation Officer (CTO) and the University Transformation Office (UTO). This critical role facilitates efficient operations, effective communication, and streamlined workflow within the transformation initiatives of the university. Performs a variety of executive support tasks that are complex, varied in nature, and may be confidential. The ideal candidate possesses exceptional organizational skills, excellent communication capabilities, strong attention to detail, and the ability to manage multiple priorities in a dynamic environment. Must be able to work with a high level of independence and a high degree of autonomy and responsibility for complex duties. Required Qualifications: Four years of qualifying experience or a combination of education and experience that equates to four years. Experience with Microsoft Word. Customer service experience. Spreadsheet and/or database experience. Organizational skills with strong attention to detail. Demonstrated positive interpersonal skills. Effective verbal and written communication skills. Ability to project a positive attitude. Ability to manage multiple projects and meet deadlines with accurate results. Ability to compose, proofread and edit correspondence. Ability to perform the essential functions of the job with or without reasonable accommodation. Preferred Qualifications: Experience with executive level constituencies. Account reconciliation experience. Demonstrated experience with computers and various software programs such as Microsoft Word, Excel, PowerPoint, and Outlook, and virtual collaboration tools (WebEx, Teams, etc.). SAP Experience. Familiarity with administrative policies and procedures. Project management experience. Duties & Responsibilities: Provides high-level administrative support, including calendar management, scheduling meetings, and coordinating appointments for the CTO and senior leadership within the UTO. Researches, prepares, organizes, and coordinates correspondence, reports, presentations, meeting agendas, and minutes. Coordinates logistics for internal and external meetings, events, and travel arrangements. Handles information flow by prioritizing, distributing, and responding appropriately to emails, phone calls, and other forms of correspondence. Maintains confidentiality and exercise discretion with sensitive information and strategic initiatives. Works on or may lead projects as requested. Assists in budget management, tracking expenses, processing invoices, and reconciling financial documents. Establishes and maintains electronic and paper filing systems, ensuring efficient documentation and record-keeping. Coordinates the on-boarding/off-boarding of employees and will assist in personnel administration matters with guidance from the chief transformation officer. Maintains department website, including data management for a dynamic and visually compelling web-based project dashboard that synthesizes data from multiple institutional programs, projects, and improvement initiatives. Presents insights to UTO leadership regarding department website, project dashboard, department processes and communications, and proactively recommend improvements to enhance transparency, strategic decision-making, and institutional effectiveness of the team. Supports special projects and transformation initiatives by providing research assistance, compiling data, and preparing materials as requested. Serves as liaison between the CTO/UTO and other university departments, external partners, and stakeholders.
